Marcus & Millichap has an exciting opportunity for a results-driven Executive Administrator to join our team! This role provides support to the Chief Financial Officer. The ideal candidate will possess a demonstrated track record of successfully supporting executive leaders, with the ability to work in a fast-paced environment both collaboratively and autonomously to anticipate needs, resolve challenges, and execute deliverables.


The anticipated salary range for candidates who will work in Calabasas, CA is $105,000 - $125,000/annual plus bonus. The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type of experience withing the industry, education, etc. Marcus & Millichap is a multi-state employer, and this salary range may not reflect positions that work in other states.


This is a 100% on-site role in our Calabasas office.

 

Responsibilities

  • Provide day-to-day tactical and strategic project administration support to the CFO.
  • Responsible for a wide range of administrative duties, including managing a busy calendar, completing expense reports, preparing confidential correspondence, organizing travel plans and itineraries, compiling materials for meetings, and taking meeting minutes while tracking action items.
  • Manage projects from start to finish, typically with a high level of technical complexity.
  • Collaborate across departments to ensure milestones for business objectives and goals are successfully executed.
  • Swiftly resolve issues and remove obstacles, ensuring projects are delivered timely and with exceptional quality.
  • Monitor progress against goals and objectives, providing regular updates on key metrics and progress to the CFO and other key stakeholders.
  • Coordinate, compile and disseminate information and updates to team members and stakeholders as required.
  • Facilitate seamless communication between the CFO’s office, internal departments, and external organizations, while fostering credibility, competence, and trust.
  • Drafts various correspondence and communications ensuring accuracy and clarity.
  • Effectively prioritize conflicting needs and priorities, often managing tight and competing deadlines.
  • Perform other tasks and duties as assigned.

Qualifications

  • Bachelor’s degree in business administrator or related field.
  • Minimum of 5 years’ related work experience, supporting C-suite executives at publicly traded companies.
  • Must have prior experience managing projects end-to-end, with a strong technical focus.
  • Strong interpersonal skills, demonstrating a proven ability to build trusting relationships within large, matrixed organizations, as well as with external agencies and vendors.
  • Proven ability to handle and maintain confidential and sensitive information with discretion.
  • Exceptional oral and written communication with the ability to create clear and concise memos and effective presentations.
  • Strong sense of urgency with a commitment to quality and follow through.
  • Strong business acumen, decision-making, negotiation and influencing skills.
  • Must be a self-motivated individual with the ability to manage multiple and competing priorities in a fast-paced environment.
  • Advanced technology proficiency, particularly adept with the Microsoft Office suite, Salesforce and HRIS.
  • Proactive and resourceful with the ability to work independently.
  • Previous commercial real estate experience is a plus.
