Summary:

The Executive Administrative Partner (EAP) is a trusted, strategic partner for up to three senior executives, including Chief level leaders. As part of the Workplace Experience Team, the EAP ensures seamless execution of daily priorities while amplifying broader organizational impact. Acting as a force multiplier, the EAP manages complex schedules (including some personal calendar needs), coordinates cross-functional meetings, prepares executives for high-stakes engagements, and provides critical support on projects and internal initiatives. They also partner closely with the Workplace Experience and People teams on event support, project coordination, and enhancing the in-office experience. Success in this role requires emotional intelligence, professionalism, and business acumen, along with the ability to anticipate needs, resolve challenges proactively, and operate with urgency in fast-paced, high-ambiguity environments where no two days look the same.

This is a full-time, hybrid position based in Santa Monica, with an expected in-office presence of a minimum four days per week and one day remote, subject to manager discretion and business needs.

Key Focuses:

  • Execute administrative activities and strategic projects with precision, applying strong organizational skills and a process-oriented mindset to drive results.
  • Serve as a trusted advisor, liaison, and ambassador for the executive(s), representing their priorities and style with professionalism and discretion.
  • Anticipate business needs and proactively deliver tailored support; confidently prioritize and act on requests with minimal direction in a dynamic, fast-paced environment.
  • Own complex calendar management, appointment scheduling, and expense reconciliation; troubleshoot conflicts and make recommendations that optimize the executive’s time and effectiveness.
  • Support in-office operations and workplace experience, including greeting guests, event support and front desk coverage, contributing to a high-functioning, welcoming environment.
  • Collaborate cross-functionally with internal teams to coordinate meetings, events, and projects, ensuring alignment with broader business goals and seamless execution.

Minimum Qualifications

  • 4+ years of experience supporting C-level executives in a fast-paced, high-growth, or complex environment.
  • Strong project ownership skills, with the ability to independently manage timelines, deliverables, and follow-through without close oversight.
  • Demonstrates sound judgment and discretion, especially in high-pressure, ambiguous, or sensitive situations involving confidential information or shifting executive needs.
  • Exceptional communication skills, with the ability to craft clear, professional messaging on behalf of executives and communicate effectively across all levels of the organization.
  • Operates with urgency and focus, quickly assessing and triaging competing priorities using sound executive judgment.

Preferred Qualifications

  • Experience working for a technology or entertainment company.
  • Executive presence, projecting confidence, clarity, and professionalism in all interactions (internal and external) while maintaining composure and adaptability.
  • Proactive problem solver who identifies potential obstacles early and course-corrects quickly to maintain momentum and alignment.
  • Collaborative and cross-functional; builds strong relationships across teams and functions and acts as a connector between the executive(s) and the broader organization.

Travel required

  • Attendance is requested for Collaboration Weeks throughout the year in Phoenix and alternate locations as needed.

Additional eligibility requirements

  • This is a full-time, hybrid position based in Santa Monica, with an expectation of a minimum of four days per week in-office and up to one day remote, subject to manager discretion and evolving business needs.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
