A Day in the LifeThe person in this role will work from the Medtronic facility located in Mounds View, Minnesota.
We are seeking an Executive Administrative Assistant to support the Vice President of the Operating Unit Strategy, Healthcare IT, Product Innovation (OSHPI) Business Capability and Delivery Center of Medtronic’s Global IT organization. In this role, your primary responsibility is to provide executive-level support to the OSHPI VP, with occasional assistance given to the OSHPI Leadership Team during face-to-face meetings or onsite visits by members of the IT Leadership Team (ITLT) to Minneapolis-area Medtronic facilities. Daily guidance and direction will be provided by the VP of OSHPI.

A DAY IN THE LIFE
- Anticipate and proactively address challenges, often resolving issues before they reach the OSHPI VP.
- Strong expertise in managing global travel logistics, including handling cancellations and delays with ease.
- Superior communication skills and the ability to engage professionally with Board members, ExCom, peer executives, and other stakeholders.
- Ability to adapt communication style to fit the audience.
- High-level autonomy and strategic support skills, offering an elevated scope of assistance when compared to standard administrative support roles.
- Serve as a key point of contract, communicating professionally and effectively with fellow ExCom Executive Assistants and peer executives.
- Produce clear, professional correspondence while demonstrating adeptness for “reading between the lines” and tailoring responses to various audiences.
- Assess and handle incoming communications, including phone calls, email, and mail, crafting responses or redirecting as appropriate.
- Provide executive support by maintaining the VP of OSHPI’s calendar, arranging executive meetings, and compiling relevant reports and documents.
- Act as liaison between VP of OSHPI and internal/external stakeholders, cultivating and fostering open and communicative partnerships.
CONFIDENTIALITY AND DISCRETION
- Handle sensitive and confidential information with utmost discretion
- Maintain confidentiality of all corporate, personnel, and sensitive matters
GENERAL OFFICE MANAGEMENT
- Oversee and maintain equipment for the VP of OSHPI’s office, including ordering and managing their desktop, laptop, monitor, cell phones, and other equipment.
- On occasion, facilitate supply and equipment orders in support of broader Global IT initiatives.
- Coordinate with Global IT teams and facilities for any office-related needs or issues.
STAKEHOLDER ENGAGEMENT
- Serve as a point of contact between the OSHPI VP and internal as well as external stakeholders.
- Build and foster positive rapport with key stakeholders, including senior executives, department heads, and external partners.
- Represent OSHPI and Global IT, fostering positive relationships with ExCom, internal executives, and external stakeholders.
- Handle special projects as assigned and provide debriefs to OSHPI VP and members of the leadership team as needed.
PROJECT MANAGEMENT
- Support OSHPI VP by managing key projects and initiatives, ensure deadlines are met and deliverables completed.
- Track progress of various projects and provide regular status updates to the VP of OSHPI.
FINANCIAL MANAGEMENT
- Efficiently and accurately process purchase orders, ensuring timely approval and compliance with organizational policies.
- Manage and pay AMEX bills on time, maintaining a clear record of all transactions.
- Process expenses related to large Global IT events in a timely manner, ensuring all costs are accounted for and reconciled appropriately.
- Handle expenses related to OSHPI leader’s travel and events promptly, certifying that all documentation is complete and submitted in accordance with company guidelines.
- Exhibit strong financial acumen and a keen understanding of budgeting and expense management in support of OSHPI VP and Global IT initiatives.
MEETING COORDINATION & TRAVEL MANAGEMENT
- Begin each day by reviewing and prioritizing the VP of OSHPI’s emails and calendar; prepare a concise daily briefing outlining key tasks, meetings, and urgent issues.
- Proactively manage the calendar by resolving overlapping priorities through clear communication and sound solutions.
- Attend strategic planning meetings with the OSHPI Leadership Team, taking minutes and following up on action items; coordinate with various teams to gather necessary information.
- Maintain unwavering professionalism while navigating incoming calls and inquiries.
- Organize and coordinate meetings, prepare agendas, capture minutes, and follow up on action items.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Coordinate complex global travel arrangements, ensuring all logistics are in place including detailed itineraries, airplane seat assignments, and car services.
- Expertly manage disruptions, providing timely solutions to travel challenges.
MUST HAVE (Minimum Qualifications)
- 6+ years of relevant experience
NICE TO HAVE (Preferred Qualifications)
- Strongly Preferred:
- 5+ years of experience in an Executive Assistant or similar role, preferably supporting C-level executives
- Demonstrated ability to work with executives and efficiently organize daily operations
- Bachelor’s degree in business administration, communications, or other relevant discipline
- Proficiency with the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Excellent written and verbal communication skills
- Stellar organizational skills and time-management abilities
- Adept at working independently and as a contributing member of a team
- High level of professionalism and integrity
- Robust problem-solving skills with an eye for detail, especially with calendaring and communications
- Tech savvy and proactive, with high level of proficiency with reporting and analytics
- Ability to occasionally work outside of standard business hours to support international travel (outside of US time zones)
- Familiarity with IT terminology and concepts
- Previous professional experience in healthcare, medical device, or technology sectors
- Professional certifications such as Certified Administrative Professional (CAP) or Project Management Professional (PMP)
- Experience drafting executive-level communications and reports
- Competent at organizing large-scale events, conferences, and corporate meetings
- Adept at handling crisis situations and providing support in high-pressure environments
- Ability to adapt quickly to changing priorities and deadlines

Salary ranges for U.S (excl. PR) locations (USD):$72,400.00 - $108,600.00
This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).
The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).
The following benefits and additional compensation are available to those regular employees who work 20+ hours per week: Health, Dental and vision insurance, Health Savings Account, Healthcare Flexible Spending Account, Life insurance, Long-term disability leave, Dependent daycare spending account, Tuition assistance/reimbursement, and Simple Steps (global well-being program).
