The Executive Admin and Office Manager provides comprehensive administrative support, manages office operations, coordinates logistics, and improves operational efficiency while ensuring executive focus and discretion with sensitive information.
## About Tylsemi
Tylsemi is building and scaling high-impact semiconductor operations. We partner across design, manufacturing, and supply chain to bring silicon from concept to high-volume production with speed, quality, and predictable execution.
## Role Overview
As an Executive Admin and Office Manager at Tylsemi, you will be the operational backbone for senior leadership and the San Jose office—owning executive support, office operations, and the day-to-day systems that keep a fast-moving semiconductor organization running smoothly. This role is ideal for a highly experienced, proactive operator who thrives in ambiguity, protects leadership focus, and builds repeatable processes that scale across teams and geographies.
## What You’ll Do
* Provide high-trust executive administrative support to senior leaders: complex calendar management, meeting prioritization, travel planning, and expense coordination
* Act as a gatekeeper and force-multiplier: manage inbound requests, protect focus time, and ensure critical items are surfaced and resolved quickly
* Run office operations for the San Jose site: facilities coordination, vendor management, supplies, shipping/receiving, and day-to-day office readiness
* Own onsite logistics for leadership and team activities: customer/partner visits, internal offsites, interviews, and cross-site meetings
* Create and maintain operational systems: SOPs, checklists, trackers, and documentation that improve predictability and reduce last-minute churn
* Coordinate across time zones and international stakeholders to ensure schedules, deliverables, and communications stay aligned
* Support hiring and onboarding logistics: interview scheduling, candidate onsite coordination, new-hire setup, and first-week readiness
* Partner with Finance/HR/IT (as applicable) on purchasing workflows, access/badging, equipment provisioning, and policy compliance
* Handle sensitive and confidential information with discretion and sound judgment
* Continuously improve how the office and executive support function operates—identify friction, propose solutions, and implement changes
## What We’re Looking For
* 15–30 years of experience in executive administration and/or office management, supporting senior leaders in fast-paced environments
* Exceptional calendar and priority management skills; ability to make tradeoffs, anticipate conflicts, and drive clarity
* Strong operational judgment: you see around corners, escalate early, and keep details from becoming surprises
* High ownership and follow-through; you close loops and ensure commitments turn into outcomes
* Clear, concise communication and strong stakeholder management across functions and seniority levels
* Comfort operating in a dynamic environment with shifting priorities and international coordination needs
* Professionalism and discretion with confidential business, people, and partner information
## Required Skills
* Executive admin
* Office manager
## Nice to Have
* Experience supporting executives in semiconductor, hardware, manufacturing, or supply-chain-heavy organizations
* Vendor negotiation and facilities coordination experience (repairs, maintenance, office services)
* Event planning for executive/customer visits and cross-functional offsites
* Process improvement mindset: building lightweight systems that scale (templates, SOPs, trackers, dashboards)
* Comfort with common productivity tools (Google Workspace or Microsoft 365) and expense/travel platforms
## Success in This Role Looks Like
* Executives have protected focus time, high-signal schedules, and consistently well-prepared meetings
* The San Jose office runs smoothly with minimal fire drills—vendors, supplies, and facilities needs are handled proactively
* Visits, interviews, and events are executed with strong logistics, clear communication, and a polished experience for guests and teams
* Operational processes are documented and repeatable, reducing last-minute churn and improving cross-team coordination
* Sensitive matters are handled with discretion, sound judgment, and consistent professionalism
## Location
* San Jose, CA
* International
## Experience
15–30 years (scope and ownership will be aligned to experience level).
