POSITION OVERVIEW.

The Event Manager will be responsible for overseeing all aspects of event planning and execution, from initial client consultation to post-event analysis. This role requires a blend of strategic thinking, project management, and exceptional customer service skills. The ideal candidate will have a proven record of accomplishment in event management, with a keen eye for detail and the ability to manage multiple tasks simultaneously.
 

JOB RESPONSIBILITIES

  • Manage the planning, coordination, and execution of conferences and related events, ensuring all client requirements are met and events run smoothly.
  • Act as the primary point of contact for clients, understanding their needs, and providing expert advice and support throughout the planning process.
  • Source and negotiate with vendors, including caterers, AV technicians, decorators, and other service providers, ensuring quality and cost-effectiveness.
  • Develop and manage event budgets, ensuring financial targets are met and expenses are controlled.
  • Oversee all logistical aspects, including venue setup, equipment setup, and on-site event management.
  • Supervise and coordinate the work of event staff and volunteers, ensuring high standards of service and professionalism.
  • Conduct post-event evaluations, gather feedback, and provide recommendations for continuous improvement.

PHYSICAL

  • Periods of standing exceeding 50% of shifts are required.
  • Position is a very active position.
  • Ability to follow instructions, directions, and meet deadlines.
  • Ability to work alone in an established routine.

KNOWLEDGE & EXPERTISE

  • Must have previous experience in Hospitality Management, Event Planning, Business Administration, or a related field.
  • Minimum of 2 years of experience in conference services or event management.
  • Proven experience in managing large-scale events and working with all types of clients.
  • Strong organizational and project management skills, with the ability to handle multiple tasks and deadlines.
  • Excellent interpersonal and communication skills, with a customer-focused attitude.
  • Proficiency in event management software and Microsoft Office Suite.
  • Ability to work flexible hours, including evenings and weekends, as needed.
