Role Summary:

The Events Manager oversees the planning, coordinating, and execution of events that drive brand awareness, engage audiences, and support business growth. This role requires strategic thinking, strong organizational skills, and managing budgets and vendor relationships while ensuring each event aligns with the company’s mission and goals in healthcare innovation. This is a hybrid role that requires 3 or more days per week in-person at the San Mateo headquarters.

 

What You’ll Do:

  • Coordinate with the events teams to create an annual event calendar that aligns with the company’s marketing objectives and product launches.

  • Define and communicate clear goals, objectives, and KPIs for each event (e.g., brand awareness, lead generation, customer engagement). Then follow-up to see if those KPIs were accomplished and if not, then understand why and how to improve.

  • Conceptualize the theme, messaging, and design of both internal and external events (conferences, trade shows, etc.) in collaboration with marketing leadership.

  • Collaborate with creative and content teams to develop event branding, messaging, and materials.

  • Manage event budgets, ensuring all aspects of the event (venue, staffing, technology, catering) are within allocated resources communicating closely with marketing leadership.

  • Identify cost-effective solutions without compromising the quality of the event.

  • Coordinate with vendors, suppliers, and internal stakeholders (e.g., partnerships, product, marketing) for event setup and logistics.

  • Handle contract negotiations with venues, service providers, and contractors.

  • Oversee, and in many cases actually do, the logistics and execution of events, including booking venues, managing schedules, and meeting technical requirements.

  • Ensure smooth onsite or virtual event experiences for attendees, staff, and speakers.

  • Develop promotional plans to drive attendance through email marketing, social media, and partnerships.

  • Ensure high engagement before, during, and after the event through marketing campaigns and interaction with attendees.

  • Identify, secure, and coordinate with speakers for keynotes, panels, and sessions.

  • Lead post-event follow-up efforts, including lead nurturing, feedback collection, and analyzing event ROI.

  • Share event performance reports with leadership and stakeholders.

  • Gather attendee feedback to refine and improve future event experiences.

  • Stay updated on industry trends and innovative event technologies to continually enhance the company’s event strategy.

 

What We’re Looking For:.

  • 5 - 7 years of experience in marketing, preferably in healthcare, tech, or high-growth stage companies.

  • Proven experience planning and executing successful events, trade shows, and conferences.

  • Strong project management skills with the ability to manage multiple priorities and deadlines.

  • Excellent communication and interpersonal skills to build relationships with internal and external stakeholders.

  • Analytical mindset with the ability to measure and report on the success of marketing initiatives.

  • Travel is required and may vary during trade show season and for our annual user conference, Noteworthy.

  • Bonus points for a Bachelor's degree in Marketing, Business, or a related field

We value in-person collaboration and connection. For Bay Area–based employees, this role requires being in our San Mateo office at least three days a week. For remote employees, occasional travel to headquarters is expected for company-wide events and onsite gatherings.
