About the Role
We are seeking a hands-on Events & Logistics Coordinator that will play a crucial role in seamless execution of events across the company. In this role, you’re responsible for managing the flow of all promotional materials, signage, and equipment from planning through post-event reconciliation. You’ll work closely with internal stakeholders across PR, Brand, Partnerships, Shipping, and Procurement to identify supply needs. Ideally, you find joy in the smallest details, have a knack for collaboration, and are able to navigate simultaneous timelines with ease.

Note: this is an on-site position based out of our Novato HQ and reporting to the Manager, Distribution, Facilities & Event.

Responsibilities:

  • Own end-to-end logistics management for event materials ensuring all samples, merchandise, and supplies are prepared, customized, and aligned with event needs
  • Coordinate shipping logistics by obtaining quotes, scheduling inbound and outbound shipments, and maintaining carrier communications
  • Partner cross-functionally to anticipate and fulfill shipping and setup requirements for both large-scale and niche events
  • Participate in pre- and post-event meetings to align on objectives, clarify roles, and capture key learnings to inform future planning
  • Manage the shipment, tracking, and organization of event materials, product samples, and VIP mailers to ensure timely delivery and accurate inventory control
  • Maintain a detailed digital inventory system and oversee post-event returns, re-use protocols, and cost reconciliation
  • Work closely with internal teams such as PR, Brand, Marketing, Events, and Partnerships to align logistics with campaign goals and brand standards
  • Balance multiple timeline and provide proactive communication to support the successful delivery of supplies, gifting initiatives, and brand activations
  • Support on-site event execution, including setup, teardown, material organization, and troubleshooting; assist with venue logistics such as A/V, power, labor, and supply coordination as directed

Basic Qualifications: 

  • 2–4 years of experience in logistics, event operations, or shipping coordination
  • Proven ability to manage multiple concurrent events, shipments, and deadlines with excellent organizational and time-management skills
  • Strong understanding of end-to-end shipping processes, including international coordination, tracking systems, and inventory management
  • Comfortable working cross-functionally to align on campaign and event needs
  • Proficient in tools for digital inventory tracking and shipping management
  • Strong attention to detail, with the ability to anticipate needs, identify issues, and proactively develop logistics solutions
  • Ability to travel for event support 10-20%
  • Ability to lift or move materials as needed

Preferred Qualifications: 

  • Optical experience and passion for fashion and eyewear to suggest frames and assist with fittings for partners
  • Experience in a marketing, PR, or brand environment 
  • Basic budgeting or expense reconciliation skills

Compensation

In addition to other forms of compensation like perks and benefits, the estimated range for this role is $67,870 - $84,810 USD. The final offer will be determined based on permissible, non-discriminatory factors such as skill set, experience, geographical location, market conditions, and other organizational needs. The Company reserves the right to change, modify, or revisit the salary range for various reasons including business needs.
