Job Summary & Responsibilities

Picture Shop, a Streamland Media company, is seeking an Evening Production Coordinator to support our cross-market theatrical and episodic finishing operations. This is a hands-on coordination role — not a producing role — sitting at the intersection of two critical departments: Data I/O and Deliverables. On the Data I/O side, that means coordinating VFX pulls, downloads, and editorial prep work coming in and moving through the facility. On the Deliverables side, it means creating and tracking work orders for stage files, QC, final deliveries, and international versions going out. The Evening Coordinator takes handoffs from the day team, keeps both tracks moving through the shift, and makes sure the next day is set up and ready to go. This person works on-site alongside our Operations team and is a key link between the day and night crews. 

 

Principal Duties and Responsibilities (Essential Functions): 

  • Takes ownership of the day-to-night handoff: reviews active project status, outstanding Data I/O requests, open Deliverables work orders, and any flagged items passed along by the day team. 

Data I/O Coordination: 

  • Creates and tracks work orders for VFX pulls, vendor downloads, editorial prep, and other inbound I/O requests — making sure operators have what they need and that work is moving through the queue. 
  • Monitors the status of active pulls and downloads throughout the shift; follows up with Data I/O operators on progress and escalates blockers as needed. 
  • Tracks incoming client materials (LTOs, EDLs, AAFs, OMFs, offline references, VFX elements) — confirms receipt, logs them, and ensures they are routed to the right team. 

Deliverables Coordination: 

  • Creates and manages work orders for stage file prep, QC, final deliveries, and international versions — ensuring each job is properly documented, assigned, and tracked to completion. 
  • Monitors active deliverable jobs throughout the evening; confirms QC is completed, finals are sent, and international packages are accounted for and on schedule. 
  • Communicates status to the appropriate leads; flags anything that won't make its window and escalates to the manager on duty. 

Session & Shift Management: 

  • Reviews upcoming bookings for the following day; identifies conflicts, missing show materials, or unconfirmed resources and works with Operations to resolve them before morning. 
  • Supports day-of session adjustments as they arise during the evening — bay changes, scheduling shifts — in coordination with Operations rather than as the primary decision-maker. 
  • Prepares a clear end-of-shift summary covering I/O activity, deliverable status, next-day session notes, and any unresolved items for the incoming day team. 

 

Required Skills: 

  • Exceptionally detail-oriented and organized — this role is built on accurate work order management, clean handoff notes, and nothing slipping between shifts. 
  • Strong written and verbal communication; able to relay status clearly and concisely to Data I/O operators, Deliverables technicians, and managers. 
  • Comfortable working independently during evening hours — knows when to handle something and when to escalate. 
  • Curious about and comfortable with technical workflows; willing to learn the language of file formats, codecs, delivery specs, and what it actually means for a deliverable to be complete and correct. 
  • Able to read a schedule, spot what is missing or at risk, and flag it before it becomes a next-morning problem. 
  • At ease with multiple systems simultaneously — work order tools, scheduling software, file tracking, internal communications. 
  • Available and reliable for on-site afternoon/evening hours (approx. 3:00 PM – 12:00 AM or as required by production schedule). 

 

Preferred Skills: 

  • Exposure to Data I/O workflows — VFX pulls, vendor downloads, LTO management, editorial file prep — even at an entry level. 
  • Exposure to Deliverables workflows — stage files, QC, network/broadcast finals, international versioning, IMF or DCP packages. 
  • Familiarity with file transfer tools such as Aspera, Signiant, or similar platforms. 
  • Working knowledge of common file formats and delivery specs (ProRes, MXF, H.264/H.265, IMF, DCDM, etc.). 
  • Experience with Xytech or a similar scheduling/work order management system. 
  • Understanding of studio security standards and content protection practices. 

 

Qualifications: 

We know that the right person for this role might not look like every other candidate on paper — and that's exactly what we're hoping for. If you have post-production experience, wonderful. If you don't, but you're sharp, driven, and genuinely captivated by the idea of how a film or series goes from raw footage to a finished deliverable, we want to hear from you just as much.

  • A genuine curiosity about the post-production process — technically, creatively, and operationally — and a hunger to keep learning. 
  • The drive to grow. This role has real runway, and we invest in people who invest in themselves. 
  • Strong instincts for communication and organization. Evenings require someone who can hold a lot of information, stay composed under pressure, and keep everyone informed without being asked twice. 
  • Comfort with technology and a willingness to dig into technical workflows. Post is a technical world — you don't need to know it all on day one, but you need to want to learn it. 
  • Reliability and presence. This is an on-site, afternoon/evening role. Showing up ready is part of the job. 

 

Nice to have (but not required): 

  • Experience in a post-production facility, production office, or entertainment environment. 
  • Familiarity with episodic or theatrical finishing workflows. 
  • Exposure to scheduling or production management tools such as Xytech. 
  • Background in film school, media studies, or hands-on set/production work. 
  • A love of film and television that goes beyond the workday. 

 

Education: 

  • High School diploma or equivalent required. A BA/BS in Film, Television Production, Communications, or a related field is a plus — but your curiosity and drive will always speak louder than a degree here.
