Job Description

Your Team

The Escrow Lead is responsible for proficiently managing and tracking escrows, loan approvals and closing dates in collaboration with our escrow company, sales teams and preferred lenders ensuring seamless closings for our valued homebuyers. The Escrow Lead operates with efficiency to ensure all purchase agreements are completed, signed, executed and escrows are promptly initiated. The Escrow Lead oversees the entire escrow process from sales release through close of escrow, ensuring accuracy, consistency for smooth transactions. Additionally, this role involves managing pricing in the system, calculating final sales prices, compiling all closing conditions, creating, and writing escrow addendums, and initiating requests for closing documents with Escrow. The Escrow Lead collaborates closely with teams in Southern California and Arizona and orchestrates and manages the sales backlog, escrows and closing processes within these regions.  

Your Key Deliverables

Manage Escrows

  • Consistently manage escrow pipeline for homes sold in backlog

  • Ability to look at future months ahead and accurately plan workload accordingly

  • Prepare for future closing months by having final pricing complete, flooring released, closing documents to escrow, etc.

  • Lead BRP Mortgage and Sales Team loan status update calls

  • Actively maintain the escrow status log for managed neighborhoods

  • Track all loan approvals in Newstar, lenders, FHA loans, termites, building finals, and flooring releases

  • Send Escrow all funding conditions as soon as the request comes in

Purchase Agreements / Net Cost of Sales/Sales Price Revisions

  • Review each purchase agreement to verify contract is accurate and complete

  • Manage the processes of accurately booking the sales, capturing the net costs of sale including incentives and discounts in InformXL and Newstar

  • Complete all Net Cost of Sales (NCOS) and sales revisions, which are. audit documents

  • Route via DocuSign all Net Cost of Sales/Sale Revision and store in the electronic file when complete

  • Confirm all required documents are in the lot file at closing (within the electronic files)     

Sales Releases and Pricing Matrix

  • Enter approved pricing into Newstar Enterprise

  • Distribute pricing to internal team members and route matrix for signature approvals

  • Maintain pricing on unsold homes for accuracy and update all pricing adjustments.

Closing Dates/Closing Disclosures

  • Maintain and track closing dates to ensure they are accurate on all internal systems

  • Adjust tentative close date to actual date

  • Manage walk and close date schedules

  • Close all homes in the system when closing confirmation is received.

  • Tie all Closing Statements to the net revenue and close out home in Newstar Enterprise

  • Update Escrow and lender with any closing date changes

Sales and Escrow Support

  • Keep track of all incoming and outgoing checks by logging them into Newstar.

  • Obtain all orientation tours from the sales teams, input into Newstar.

  • Maintain Orientation/Close Schedule and send out all walk and close date letters.

  • Order and track through Newstar all termite reports, NHD’s and Tax Reports

  • Maintain the Referral tracking log in Newstar and request all referral checks. Distribute to sales teams   

Additional Responsibilities

  • Maintain Internal and External Relationships

  • Grant Deeds

  • Review final sales prices in lot file summary form

Must Haves

  • Bachelors Degree and/or 5-8 years experience in escrow and closing new home construction

  • Notary Public is preferred

  • General knowledge of new home industry is preferred

  • Ability to multi-task and prioritize

  • Ability to drive own workload and work under limited supervision

  • Strong organization and planning skills

  • Strong follow-through skills and detail orientation

  • Strong Communication and interpersonal skills

  • Computer knowledge: Microsoft Office required; Newstar, Salesforce, DocuSign a plus

  • This position will be located in the Costa Mesa office as it requires collaboration with escrow and sales teams.
