The Project Coordinator provides administrative and operational support to the Project Management team by helping coordinate project activities from start to finish. This role is responsible for tracking project progress, maintaining documentation, communicating with internal teams and vendors, and ensuring project information is accurate and up to date.
While this position supports Electronic Security (ES) projects, extensive technical knowledge is not required. The ideal candidate is highly organized, detail oriented, comfortable learning new systems, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Support Project Managers with the day-to-day coordination of assigned projects.
Maintain accurate project records in company tracking systems.
Track project milestones, schedules, and outstanding action items.
Assist with project setup, documentation, purchase orders, and closeout activities.
Coordinate with field technicians, subcontractors, vendors, customers, and internal departments.
Monitor project status and follow up on missing information or required updates.
Schedule meetings, site visits, and project-related activities as needed.
Ensure project files and documentation remain organized and current.
Prepare reports, spreadsheets, and project updates for leadership.
Assist with invoicing support, documentation requests, and project reconciliation.
Help identify potential scheduling or project issues and communicate them to the Project Manager.
Maintain professionalism and excellent customer service when communicating with internal and external partners.
Support process improvements and assist with special projects as assigned.
Qualifications
High school diploma or equivalent required.
1 to 3 years of project coordination, administrative, customer service, or operations experience preferred.
Experience supporting multiple projects simultaneously.
Construction, facilities, banking, or service industry experience is a plus but not required.
