We have an exciting opportunity for an Equity Program Lead! The Equity Program Lead serves as the operational and strategic intermediary between the Director/Manager of Equity Management and the Equity Program Specialist. This role provides advanced administrative oversight, quality control, and workflow leadership for all equity programs.  This position:

  • Ensure the effective administration, accuracy, and execution of all equity programs and related processes. 

  • Provide operational leadership, technical expertise, and quality oversight for equity transactions, documentation, and communication.

  • Partner with HR, Finance, Legal, Payroll, and external vendors to support compliant and seamless equity operations.

  • Support the Director/Manager of Equity Management in strategic planning, program development, and cross-functional initiatives.

  • Contribute to system improvements, process efficiencies, and standardized workflows across the equity lifecycle.

This is a fully remote position.

In the spirit of pay transparency, we are excited to share the base salary range for this position is $100,000.00 to $110,000.00, exclusive of bonuses and benefits. Primary Job Functions

Equity Incentive Program Administration

  • Lead end-to-end execution of equity grant cycles, including recipient list validation, offer tracking, award documentation, and final grant confirmation.

  • Maintain tracking logs (B1 and UE) and monitor equity pool availability; provide final grant data for Cap Table updates.

  • Coordinate 83(b) election creation, distribution, and reminders.

  • Oversee monthly/periodic grant approvals, documentation workflows, and DocuSign execution processes.

Secure Site & Documentation Management

  • Prepare and manage secure data rooms for equity offerings, including plan documents, LLC agreements, award agreements, and overview materials.

  • Coordinate with IT to provision recipient access and ensure proper document controls.

  • Create and maintain standardized templates (award agreements, overview documents) across multiple equity programs.

  • Ensure all communications and documentation are archived in the Equity Management repository.

Equity Communications & Participant Experience

  • Develop and maintain informational videos and educational materials tailored to different equity holder groups (employees, non-employees, UE participants).

  • Draft and distribute multi-phase communications (pre-comm, Phase I/II, follow-ups, reminders) to offerees and distribution recipients.

  • Manage outreach, wire instructions, and ongoing participant communications throughout the grant and distribution lifecycle.

  • Support distribution communications, including confirmation of released distributions.

  • Update per-unit valuations in Workday to align with current valuations reflected in grant and communication materials.

M&A Equity Support

  • Participate in weekly M&A update sessions and maintain the M&A equity tracker.

  • Lead recurring M&A equity touchpoints with internal and external partners (e.g., Legal/Ballard).

  • Confirm eligibility populations with HR and outreach permissions with Business Development.

  • Prepare and distribute M&A-related equity communications to impacted employees and owners.

Governance, Tax & Compliance

  • Coordinate IoI/AIQ collection and quality control via DocuSign.

  • Receive, review, and quality-check K-1s from tax partners; partner with Tax, Finance, and the CFO for review and accuracy.

  • Ensure proper approval workflows for grants and equity transactions prior to execution.

  • Maintain version control (including watermarked materials) and documentation standards across programs.

Cross-functional Coordination & Reporting

  • Collaborate with HR, IT, Tax, Legal, Finance, and external partners to ensure accurate and timely equity administration.

  • Monitor transaction pipeline activity and provide leadership with visibility into upcoming equity impacts.

  • Maintain accurate tracking tools and reporting to support leadership decision-making and cap table integrity.

Education/Qualifications

  • Bachelor's Degree (or equivalent experience) in business; finance, economics or related field

  • Minimum 5 years’ experience in equity administration, HR operations, compensation, accounting, or finance.

  • Strong understanding of equity programs, plan documents, and common equity lifecycle transactions.

  • Advanced level experience with Excel

  • Experience with Workday, DocuSign, equity management platforms, and Microsoft Office.

  • Exceptional attention to detail, organizational skills, and ability to manage multiple priorities with tight deadlines. 

  • Strong analytical thinking, judgment, confidentiality, and interpersonal communication abilities. 

WEG hires employees and makes decisions about their salary qualifications based on factors such as: the role to be performed; educational and professional experience, qualifications, skills and credentials; tenure, cost-of-living and demand for the role in the applicable market. To comply with state pay transparency laws, we must disclose the entire salary grade. The entire salary grade for those who are classified at Associate level is $87,400.00 to $131,100.00. However, the base salary range bolded above is what we expect to pay as a starting range for this position.
