Job Description
The NBCUniversal Team is looking for an Emergency Services Coordinator! You will be responsible for handling accounts payable by overseeing invoices and billing for Disaster Preparedness, Fire Prevention and LA County Fire including monthly financial reporting. In addition you will also responsible for varied administrative tasks and operational functions in support of ongoing activities, events and projects. You will report to the Vice President of Emergency Services interfacing with appropriate business stakeholders and third party clients as needed.
What You'll Do:
- Responsible for prompt processing of electronic payment requests and purchase orders for all areas of our division including tracking and new vendor set up
- Gathers, compiles, analyzes and interprets data for preparation of Invoices. Maintains accurate financial records for month end and year end reporting. Cultivate vendor and client rapport with steady follow-up and communication.
- Reviews, inputs and maintains the Hot Work and Red Tags tracking system
- Conducts internal audits as required by management and communicates work order findings
- Assists with the tracking of registration and confirmation of class/event attendees and maintaining of computerized training records as needed for Disaster Preparedness Classes, Hot Work and Safety Team Meeting records and events
- Perform administrative duties in support of all the divisions within the Emergency Services Department including LA County Fire Department and Inspectors with orders, facility maintenance and special requests
- Establishes and maintains department filing system and accurately records archival files and schedules pick up through our Document Management database system
- Make arithmetic calculations and check payroll information against hours worked and ensure proper coding for third party employees
- Investigates questionable costs associated to comparing of invoices to actual time worked
- Actively assists with the organization and coordination of Special Events and Special Projects

What You Must Have:
- 2+ years of experience in administrative environment
- High school diploma or equivalent
- Must be able to work evenings and weekends on short notice to accommodate office move schedules and rush requests from productions as needed
- Transporting and general lifting of 20-25 lbs is sometimes required
What Would Make You a Stand-out:
- Bachelor's degree in related field
- Experience with SAP (Accounting Software), Purchase Manager (Supplier Software) & SNAP (Basware, Vera, Vendor Requests
- Experience with internal tracking systems (Trackvia, Service Now, Archibus, Catertrax and iam group tracking) is a plus.
- Strong proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook
- Ability to work with teams - internal and external
- Experience with inputting and analyzing data

- Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
