Ocean Visions is a nonprofit conservation organization pursuing bold solutions to counter and reverse climate impacts on ocean health. Working with a global network of partners, we explore, evaluate, and advance innovations to address climate-driven harm to the ocean.  We work on system-level challenges where solutions are least developed, most complex, or politically difficult—but potentially transformative. Our work is grounded in robust science, and we continually seek to improve our understanding of the complexity of the challenges to the ocean posed by climate change. 

Ocean Visions works on an interdependent four-part strategy to directly address the causes and impacts of climate disruption, from an ocean lens:

  1. REDUCE: Identify and advance high-leverage ocean-based opportunities for a just transition to a low carbon economy  
  2. REMOVE: Identify and advance ocean-based pathways for cleaning up legacy carbon pollution from the air and ocean 
  3. REPAIR: Identify and advance interventions to avoid catastrophic loss of critical marine ecosystems and passing of dangerous tipping points  
  4. REACH: Support the growth of a global community to develop and advance innovative ocean-climate solutions 

THE OPPORTUNITY 
Ocean Visions seeks an experienced and detail-oriented Director of Finance and Administration to join our team and manage the administrative, grants management, and financial functions and systems that underpin our operations and enable our mission. This role is critical to the effective functioning of the organization and will work closely with the CEO, staff and our external finance and HR partners.

KEY RESPONSIBILITIES 

Organizational Administration 

  • Manage the organization’s relationship with our PEO (Insperity) on payroll, benefits, PTO tracking, performance evaluation, and onboarding/offboarding. 
  • Continue to improve and Maintain organizational shared digital information management and filing systems and oversee all administrative and financial records and files. 
  • Develop and maintain documents, including policies, procedures, and compliance records. 
  • Oversee logistics for team meetings and retreats. 
  • Oversee performance review cycles and maintain review tools. 
  • Oversee subscriptions and general IT and administrative systems. 
  • Manage relationships with administrative contractors and vendors and ensure performance against scopes of work. 

Grants & Contracts Management 

  • Support pre- and post-award grant processes, both incoming and outgoing grants, and maintain systems to track grant deliverables and reporting deadlines.  Experience with donor research and proposal development a plus. 
  • Manage and track the development, progress and close-out of contracts with consultants, subrecipients, and vendors. 
  • Maintain complete recordkeeping for all grants and contracts and ensure timely and accurate disbursement of payments. 
  • Lead financial reporting requirements for regranting and subaward monitoring. 

Financial Management & Reporting 

  • Manage the external bookkeeping and accounting services to ensure functioning financial controls and operations. 
  • Lead annual organizational budget development. Provide monthly tracking reports for budget holders. Ensure comprehensive monthly and quarterly reports are available for CEO and Board. 
  • Manage and be responsible for timely completion of expense coding, allocations, reimbursements, and monthly reporting processes. 
  • Monitor and track expenditures against grant budgets; preparing financial  reports to staff, board and funders. 
  • Ensure compliance with all financial policies and implement internal controls. 

Support Other Operations Functions 

  • Oversee implementation of existing policies and procedures to optimize resources and ensure organizational compliance with all applicable laws and regulations.  Develop new policy as needed. 
  • Manage relationships with consultants and contractors supporting finance and administrative work. 
  • Support the CEO and Board with operational information and materials for board activities as needed. 


QUALIFICATIONS 

  • 10+ years of relevant experience in the management of financial functions and organizational administration, ideally within a nonprofit setting. 
  • Demonstrated experience with financial processes, grant budgets and grant accounting, and contracts. 
  • Strong working knowledge of nonprofit operations, administration, and accounting. 
  • Experience with financial reporting; experience with managing restricted funding a plus. 
  • Demonstrated ability to independently own and drive complex finance and administrative functions. 
  • Strong organizational and task management skills; excellent attention to detail. 
  • Ability to work independently, manage multiple priorities and responsibilities effectively, and meet deadlines. 
  • Strong interpersonal communication and collaboration skills. 
  • Proficiency with Microsoft Office Suite, especially Excel, and comfort with cloud-based tools. 
  • Familiarity with Microsoft, QuickBooks, Monday.com, or other project/financial management systems is a plus. 

Location, Hours, and Travel 

This is a regular full-time remote position. Applicants must be U.S.-based, legally authorized to work in the U.S., and available to work standard business hours of a continental U.S. time zone.   

Compensation: 

The salary range for this position is $80,000-$110,000, commensurate with the candidate’s specific skills, years of experience, and background. Salary ranges at Ocean Visions are determined through market analysis updated annually to ensure that Ocean Visions remains competitive and equitable.
