We’re actively seeking a talented Department Coordinator to join our Consumer Markets Division (CMD) Finance and Product teams in Newport Beach, CA.

  • This role is hybrid. We believe in empowering our employees to get work done both in and out of the office.

As a Department Coordinator you’ll move Pacific Life, and your career, forward by helping to coordinate departmental responsibilities and events between CMD Finance and Product. You will fill a new role that sits on a team of 9 people in the CMD Finance division. Your colleagues will include CMD Finance and Product teams.

How you’ll help move us forward:

  • Oversee the full invoice process for both CMD Finance and Product departments via Coupa, ensuring timely, accurate, and efficient processing.

  • Coordinate new hire onboarding, including submitting Workday requests, arranging equipment and software needs, and providing first-day assistance.

  • Ensure new team members are added to all relevant distribution channels for seamless communication and integration into the team.

  • Manage IT and facility-related requests, including access permissions, software needs, and office space reservations.

  • Handle office-related requests such as name removals, furniture updates, and resolving office issues in a timely manner.

  • Organize and manage departmental meetings, including quarterly CMD Product and Finance meetings, and support recognition initiatives.

  • Coordinate offsite events, such as team-building activities, recognition dinners, and virtual gatherings as requested.

  • Assist in supporting larger department-wide events, coordinating logistics alongside senior administrative staff.

  • Provide calendar management and scheduling assistance to the department, ensuring meetings series are efficiently coordinated.

  • Support departmental officers with calendar organization and meeting coordination as needed.

  • Maintain an organized inventory of departmental records, office supplies, and equipment.

  • Assist with project-related tasks such as creating and maintaining SharePoint sites to improve team collaboration.

  • Support ad-hoc project requests and other duties as needed.

The experience you bring:

  • 2+ years of experience

  • Must be a strong team player with a collaborative mindset, able to work effectively with a diverse team and take direction from senior staff.

  • Ability to adapt to changing priorities and maintain a proactive approach in a fast-paced environment.

  • Strong organizational and multitasking abilities, with a keen attention to detail.

  • Ability to handle confidential information with professionalism and discretion.

What makes you stand out:

  • Previous experience with procurement, invoicing, and office administration

  • Experience in Microsoft Office Suite including Outlook, PowerPoint, Word, Excel and Power BI

Base Pay Range:

The base pay range noted represents the company’s good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent upon several factors, including but not limited to experience, qualifications and geographic location. Also, most employees are eligible for additional incentive pay.

$23.86 - $29.16
