The Creative Network Coordinator is responsible for recruiting, evaluating, onboarding, scheduling, and supporting Wedgewood Weddings' network of independent photographers and videographers. Serving as the primary liaison between the company and its creative partners, this role ensures staffing needs are met while maintaining high standards for professionalism, service, and creative quality.


This position combines talent acquisition, relationship management, quality assurance, and scheduling coordination. The ideal candidate is passionate about photography and videography, has a strong eye for creative quality, and enjoys building relationships with talented professionals.


What You'll Do


Build & Grow Our Creative Network

  • Recruit, source, evaluate, and onboard independent photographers and videographers to support current and future staffing needs.
  • Review portfolios, galleries, and sample work to assess technical proficiency, creative style, and alignment with company standards.
  • Maintain accurate contractor records, agreements, compliance documentation, certifications, and availability information.
  • Build strong relationships with creative partners to support engagement, retention, and long-term network growth.
  • Monitor network capacity and proactively identify future staffing needs.


Coordinate Staffing & Scheduling

  • Assign photographers and videographers to weddings, engagement sessions, and related events.
  • Verify contractor availability and confirm assignments to ensure events are appropriately staffed.
  • Coordinate coverage replacements and staffing adjustments as needed.
  • Communicate schedules, assignments, and event expectations clearly and professionally.


Maintain Creative Quality Standards

  • Conduct portfolio reviews, gallery audits, and performance evaluations to ensure ongoing compliance with company standards.
  • Review client, venue, and contractor feedback to identify strengths, opportunities, and quality concerns.
  • Recognize high-performing creatives and recommend advancement opportunities based on demonstrated skill, reliability, and professionalism.
  • Escalate performance, service, or quality concerns when appropriate.


Coordinate Engagement Sessions

  • Schedule and assign engagement sessions.
  • Assist clients with engagement session location recommendations and selection.
  • Secure permits and location approvals when required.
  • Ensure session logistics are communicated clearly to both clients and contractors.


Support Event Readiness

  • Confirm timelines, questionnaires, assignment details, and final event documentation are complete.
  • Ensure photographers and videographers have the information necessary to execute events successfully and deliver an exceptional client experience.


What We're Looking For

  • Three or more years of professional experience as a photographer, videographer, creative manager, or related visual media professional.
  • Strong understanding of photography techniques, lighting, composition, posing, storytelling, and client experience standards.
  • Ability to evaluate portfolios, galleries, and creative work for technical quality, consistency, brand alignment, and overall fit.
  • Experience recruiting, mentoring, coordinating, or managing photographers, videographers, or other creative professionals preferred.
  • Strong organizational and project management abilities with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • Familiarity with wedding photography and videography workflows.
  • Experience with Salesforce, CRM platforms, Microsoft Office, or project management software is a plus.
  • Professional, accountable, and comfortable handling sensitive contractor and client information.
  • Flexibility to work evenings and weekends as needed to support engagement sessions, contractor communication, staffing needs, and wedding operations.
