In addition to overseeing the headquarters reception and lobby experience, this position will provide direct administrative support to the Workplace Services Manager, assisting with calendars, email, office activities, vendor and property management coordination, correspondence, and other administrative responsibilities.

This role is primarily based in the Corporate Lobby, requiring the employee to manage most responsibilities from the reception area while maintaining a polished, welcoming, and highly professional environment.

Work Schedule: Monday–Friday, 7:00 a.m.–4:00 p.m.

What a typical day looks like:

  • Serve as the primary reception and hospitality point of contact for Corporate Headquarters, creating a welcoming and professional experience for executives, employees, candidates, customers, vendors, and other guests.
  • Provide a high level of service to senior executives and their teams, anticipating needs and responding with professionalism, urgency, and discretion.
  • Coordinate visitor arrivals, guest access, meeting logistics, and other front-of-house requirements.
  • Maintain awareness of daily executive and office activities to proactively prepare for visitors, meetings, events, and changing workplace needs.
  • Handle confidential, sensitive, and executive-level information with the highest degree of discretion and sound judgment.
  • Maintain a professional and organized lobby and reception environment that appropriately represents the company's corporate headquarters.

Workplace Services & Administrative Support

  • Provide direct administrative support to the Workplace Services Manager, including calendar management, email coordination, scheduling, correspondence, documentation, and follow-up.
  • Assist with planning and coordinating office activities, meetings, events, and workplace initiatives.

  • Prepare and maintain correspondence, records, schedules, contact information, and other administrative documentation.
  • Support coordination of office services, supplies, amenities, facilities requests, and other workplace needs.
  • Assist with special projects and additional administrative responsibilities as needed.

Office Operations & Problem Solving

  • Serve as a central point of contact for day-to-day workplace questions, concerns, and service needs.
  • Independently assess and resolve routine office challenges, engaging the appropriate internal or external resources when escalation is necessary.
  • Take ownership of issues through resolution rather than simply redirecting requests.
  • Develop strong working relationships with executive assistants, Workplace Services, Security, IT, property management, vendors, and other business partners.
  • Identify opportunities to improve office processes, service delivery, and the overall employee and guest experience.
  • Balance multiple priorities in a fast-paced corporate environment while maintaining a calm, organized, and customer-first approach.

What we're looking to add to our team:

  • 3+ years of professional experience in corporate reception, office administration, executive support, workplace services, hospitality, or a related role.
  • Demonstrated experience supporting senior executives, executive staff, and executive-level guests in a professional corporate environment.

  • Proficiency with Microsoft Outlook and standard Microsoft Office applications, including calendar and email management.
  • Experience coordinating with property management, facilities teams, vendors, or service providers preferred.
  • Must be comfortable performing the majority of daily responsibilities from the Corporate Lobby/reception area.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
