The Role:
As HR Coordinator, you'll serve as a key operational partner for our HR team, ensuring every employee experience—from day one to their final day—is smooth, supportive, and aligned with OneCanvas values. This role sits at the intersection of administrative excellence and employee engagement, where your work directly shapes how people connect with our agency.
You'll own end-to-end onboarding experiences, maintain critical HR records with precision, support talent acquisition efforts, and help bring employee recognition programs to life. Responsibilities:
- Lead the new hire experience: Own the onboarding journey from welcome packet delivery through orientation scheduling and system enrollment—ensuring every new team member feels welcomed and prepared from Day One.
- Manage offboarding with care: Coordinate equipment returns, secure file transitions, and handle system deactivations while maintaining a positive, professional exit experience.
- Maintain compliance-ready records: Keep employee files current throughout their lifecycle, including organization charts, I-9 documentation, and personnel records with strict attention to accuracy and confidentiality.
- Keep data accurate: Update employee records promptly following promotions, title changes, or FLSA reclassifications across all HR systems.
- Enable growth: Assist with scheduling and logistics for company-wide training programs.
- Respond to inquiries: Serve as a trusted point of contact for internal and external HR questions, providing timely and accurate guidance, knowing when to escalate.
- Build community: Oversee and enhance employee recognition initiatives including Anniversary Awards, Wellness program and other rewards and recognition programs.
- Support team operations: Provide essential administrative support including scheduling, email management, and correspondence to keep the HR team operating efficiently.
- Drive hiring workflows: Manage job requisitions within our applicant tracking system and prepare offer letters once approved, keeping candidates engaged throughout the process.
- Enable decision-making: Generate hiring reports and insights for leadership to support data-driven recruitment decisions.

Education & Credentials:

Salary and Benefits
Actual base salary is determined upon factors such as experience, qualifications, training, certifications, and internal equity. The Company reserves the right to modify this pay range at any time. Base salary is part of a total rewards package that includes highly competitive benefits like generous medical, dental, vision, pet insurance, commuter benefits, disability and life insurance coverage, 401(k) matching, up to 14 holidays per year, a “Do Good Day,” and unlimited PTO.
