The Human Resources Coordinator is a resourceful problem solver who processes multiple tasks with competing deadlines, has meticulous attention to detail, and enjoys creating streamlined processes. They collaborate with the HR Business Partners (HRBP) and various departments to process changes related to the employee lifecycle within our HRIS system (UKG). The role requires someone who can quickly ramp up, manage recurring tasks independently and accurately, and escalate issues appropriately.

This position will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.

Job Description

  • Facilitate new hire onboarding process including creating/sending welcome emails, completing I-9s and E-Verify, and maintaining spreadsheets related to orientation and benefits.
  • Complete accurate data entry for all transactions in the HRIS system including data changes, new hires, transfers, promotions, and separations.
  • Partner with HR Business Partners (HRBPs) to support employees across multiple business units and ensure timely completion of HR transactions across the enterprise.
  • Prepare letters and change memos for data changes and promotions.
  • Maintain organizational charts to reflect current workforce structure and reporting relationships.
  • Support payroll accuracy by auditing timecards each pay period and completing historical corrections, as needed.
  • Run and distribute employee and time related reports to support payroll, compliance and HR operations, as needed.
  • Collaborate with various departments such as Payroll, IT, and Finance to create and maintain standard work documents (SOWs) and detailed standard operating procedures (SOPs).
  • Support employees with HR related inquiries such as user log in issues, request for verification of employment, and HRIS related questions.
  • Maintain employee files to ensure all documents are timely and correctly electronically filed.
  • Identify and implement process improvements that increase efficiency, accuracy and consistency across HR Operations.
  • Consistently meet payroll and compliance deadlines in alignment with company regulatory requirements.
  • Reduce rework or escalations related to HRIS transactions through attention to detail and proactive issue resolution.

Qualifications

  • Bachelor’s degree in human resources, business administration, or a related field (preferred).
  • Proven experience as an HR Coordinator or similar role.
  • 1-2 years' experience supporting an HR related function preferably with a data-oriented focus.
  • Familiarity with HRIS systems (e.g., UKG, ADP).
  • Proficient and professional verbal and written communication skills in communicating with employees.
  • Excellent customer service skills and detail.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Power Point, Visio).
  • Strong verbal and written communication skills.
  • Ability to demonstrate effective time-management skills in an environment with competing deadlines.
  • Strong organizational skills, attention to detail, accuracy, and the ability to complete and follow-through on all tasks.
  • Ability to perform efficiently and effectively in a fast-paced, deadline-oriented environment.
  • Ability to be flexible and adaptable.
  • Ability to handle sensitive and confidential information with discretion.
  • Proactive problem-solving skills and the ability to work independently.
  • Excellent interpersonal skills with a demonstrated ability to provide guidance and assistance to all levels of employees.

Pay Range: $30.00 - $34.00 an hour. Final compensation will be dependent upon skills & experience.
