Duties and Responsiblities:
- Manage many aspects surrounding maintenance projects such as project scopes, quotes, invoices, cut sheets, drawings, specifications approved by AUSA and Operations authorizations, SOP's, and close-out documentation. These will require research and interpretation and the ability to relay this information accurately in a form and substance that will allow the maintenance team to make necessary, informed decisions on critical, and high value questions.
- Assist in the scheduling of Maintenance contractors for large Operations projects. Ensure that each project is completed timely and in sync with direction given from the Project Manager.
- Assist Project Manager in the compilation of all bid documents, including requests for proposals, bid forms, bid plans, special instructions, and schedules. A comprehensive, accurate, timely bid package minimizes the cost of the project and help to prevent change orders to the project in the future.
- Issue purchase orders at the direction of the Operations/Asset management/IMAC team and amend existing PO's as necessary throughout the project including closeout. Contracts and PO's are typically input prior to work starting. PO's must be amended at the direction of the Project Manager as necessary.
- Work closely with Operations team and Project Manager to help schedule redline meeting for review scope of work and specifications. This helps to streamline the project from beginning to end and is typically scheduled with all parties involved in the project.
- Attend a variety of Energy and Maintenance projects meetings with AUSA support staff, contractors and consultants.
- Assist Project Managers and Associates with the project completion process including the project closeout manuals, and the project punch list completion signoff process. This process includes all as built plans and the completion of all PO's .
- Provide Technical support to office management and Field Maintenance Teams. This role provides coordination of various Maintenance related items. This will include assisting with day-to-day issues surrounding programs, IT issues, and various items that may occur within the field team.
- Additional job duties may be assigned as needed to meet the needs of the business and support our Values.

Qualifications:
- Associate degree required or equivalent experience.
- 5 + years of experience
- Familiarity with maintenance vendors, special projects, scope of work, and costs.
- Strong project management skills
- Proficient with (Google, Advanced MS Office, Microsoft Word, Excel, Coupa, Service Channel, etc.)
- Excellent & effective communication skills
- Excellent critical thinking and problem solving
- Highly organized
- Highly flexible with strong multitasking and prioritization ability
- Detail oriented
- Able and willing to learn new software tools and applications.
