Job Description

Please note this is a 7-Month Contract Position

Reporting to the VP of Legal for North America, our Contract & Proposal Manager (contractor) will lead the coordination of Nearmap's responses to Requests for Proposals (RFPs), Requests for Information (RFIs), tenders, and customer security and vendor questionnaires across North America, Australia, and New Zealand. You'll act as the project manager for every RFX, pulling together subject matter experts across sales, security, finance, and legal to build accurate, on-time, and on-brand responses. You'll be the go-to person for our RFX process end-to-end, from intake and item assignment through drafting, review, and final submission, and you'll help us continually sharpen our content library and playbooks so future responses get faster and stronger. This is a maternity leave cover contract, ideal for someone who thrives on deadlines, loves the details, and enjoys bringing order to cross-functional projects.

  • Own the end-to-end coordination of responses to RFPs, RFIs, tenders, and customer security and vendor questionnaires (RFXs), acting as project manager from intake through submission.
  • Partner with subject matter experts across sales, security, finance, and legal to gather accurate, up-to-date information needed to respond to RFXs.
  • Coordinate RFX-associated activities such as item assignments, calendar reminders, response strategy meetings, and executive sign-off, following up as needed to keep responses on track.
  • Draft and prepare RFX response content that matches prospect and customer requirements while adhering to internal guidelines and approved positioning.
  • Ensure final response packages are appropriately formatted, reviewed, and submitted to the prospect or customer on time.
  • Develop, maintain, and continuously improve a library of RFX content, template language, and playbooks for future use.
  • Support the broader contract management process, including basic contract and NDA review, redlining, and coordination with the legal team on related documentation.
  • Maintain accurate records, data integrity, and reporting for RFX and contract activity within Nearmap's contract management and RFX tools.
  • Escalate complex or high-risk RFX responses and contractual questions to legal counsel as appropriate to minimize business risk.
  • Comply with Nearmap's values, policies, and standards, and support compliance with applicable local statutory and legislative requirements.

What you’ll bring

  • 3+ years of experience coordinating RFPs, RFIs, tenders, or customer/vendor questionnaires, or in contract administration, ideally within a SaaS or technology business.
  • Comfort managing intake, routing, and approvals for RFX documentation, with the ability to read, comprehend, and parse requirements and plans of action from RFX materials.
  • Proven track record of cross-functional collaboration, managing competing priorities across departments and time zones, and delivering results under pressure.
  • Strong project management skills with the ability to manage multiple deadlines, and a basic understanding of commercial contract law, best practices, and risk identification.
  • Proficiency in Microsoft Office, with familiarity with Salesforce, Confluence, Jira, or similar enterprise-level programs.
  • Excellent written and verbal communication and organisational skills, with high attention to detail and the ability to work autonomously.
  • Experience with Gov Procurement and Bid Management tools (e.g. BidPrime, BidNet Direct, GovSpend) or other RFx sourcing platforms preferred.
  • Comfortable leveraging Claude or similar enterprise AI tools.
