The Opportunity - Contract Administrator - Remote (USA)

Wrapbook is hiring a Contract Administrator to help ensure compliance with union and guild agreements, support accurate payroll processing, and maintain clear, reliable contract records. In this role, you will serve as the key connection point between Labor Relations, Customer Success, Implementation, and our Payroll Operations teams.

You will be responsible for reviewing all new projects and ensuring contracts are accurately vetted and we know how to set up the contract in the Wrapbook system within defined SLAs. Working out of a Salesforce queue, you will proactively review incoming projects, validate information in the CRM system, and engage clients directly when additional details are needed. You’ll maintain meticulous notes on all internal and external communications, ensuring visibility and consistency across teams.

When complex or nuanced contract scenarios arise, you will consult with the Labor Relations team, facilitating discussions between yourself, Labor Relations, and the client to ensure proper setup. By balancing efficiency with accuracy, you will safeguard Wrapbook’s commitment to compliance while providing a seamless client experience.

Your mission will be to interpret complex entertainment contracts, configure them into Wrapbook’s payroll system, and validate their accuracy, ultimately helping production teams stay compliant while ensuring cast and crew are paid correctly and on time. This role is highly collaborative, detail-driven, and critical to maintaining compliance with union and guild agreements while supporting smooth payroll operation

What you’ll do:

  • Review incoming projects in Salesforce, vet contracts, and ensure accurate setup in Wrapbook’s payroll system within defined SLAs.

  • Proactively analyze project details in the CRM, validate completeness, and engage clients when clarification or additional information is required.

  • Consult with the Labor Relations team on complex or high-risk contracts; facilitate joint conversations with clients as needed.

  • Accurately interpret union and guild agreements (SAG-AFTRA, DGA, IATSE, Teamsters, etc.) and apply them within payroll system configurations.

  • Maintain thorough, detailed notes on all internal and external communications for transparency and continuity.

  • Test and validate wage, fringe, pension, and health & welfare setups to ensure compliance and accuracy.

  • Investigate discrepancies in wages, hours, or contract terms, and work cross-functionally to resolve them.

  • Monitor reports for expirations, modifications, and discrepancies; escalate issues when necessary.

  • Distribute relevant union and guild updates to internal stakeholders.

  • Partner with Customer Success, Implementation, and Payroll Coordinators to ensure seamless project launches.

What you’ll have:

  • 5+ years of experience in contract administration, labor relations, payroll operations, or production accounting.

  • Strong knowledge of entertainment union and guild agreements (SAG-AFTRA, DGA, IATSE, Teamsters, etc.).

  • Experience working with CRM or case management systems (Salesforce experience preferred).

  • Demonstrated ability to interpret, apply, and explain contractual requirements.

  • Detail-oriented with excellent organizational skills; able to manage multiple projects and priorities simultaneously.

  • Exceptional written and verbal communication skills, with the ability to maintain clear and professional client-facing interactions.

  • Collaborative mindset with the confidence to consult cross-functionally and escalate when appropriate.

  • Proactive problem solver with a bias for action and accountability.

  • Comfort working in a fast-paced, dynamic environment with evolving union/guild rules.
