🔍 About the Role
We’re looking for a Client Success & Billing Coordinator to manage client billing, accounts receivable, and support our Business Development (BD) team with client onboarding and campaign tracking. This role requires a mix of financial and operational expertise, with a focus on ensuring smooth client invoicing processes and assisting with key business development functions.
🗺️ Location
This is a remote position or hybrid based in our Boca Raton, FL office. The remote option is dependent on prior experience with Ringba and TrackDrive. The QV team operates across EST, CST, and European time zones. Success in this role requires a schedule that supports active collaboration during these working hours.
📆 Key Responsibilities
Client Billing & Accounts Receivable:
- Prepare and issue client invoices with a high degree of accuracy, ensuring correct formatting, rates, and supporting documentation where required.
- Monitor and manage accounts receivable, following up with clients in a timely and professional manner to ensure on-time payments.
- Maintain billing records and documentation, collaborating with Finance to reconcile revenue and cash flow on a regular basis.
Client Onboarding & Collaboration with BD Team:
- Support the Business Development team in onboarding new clients, including preparing, reviewing, and coordinating execution of agreements such as MSAs, Credit Card Addendums, Compliance Attestations, and more.
- Serve as a liaison between Business Development and internal operations teams, ensuring all client onboarding steps are completed promptly and accurately to avoid downstream issues.
- Attend and participate in weekly Risk Assessment meetings, documenting action items, surfacing onboarding roadblocks, and helping address early-stage client concerns.
Campaign Tracking & Reporting:
- Track digital and marketing campaign performance using tools such as TrackDrive and Ringba, ensuring that routing configurations and attribution data are current and accurate.
- Maintain and update client campaign data in the CRM, ensuring a reliable source of truth for internal reporting and cross-functional collaboration.
- Generate and assist in compiling regular campaign performance reports, providing support to BD for client-facing metrics and to AP for revenue reconciliation.
Cross-Team Coordination & Support:
- Act as a key support resource for both the Finance and Business Development teams, managing a variety of operational and administrative tasks across departments.
- Adapt to evolving priorities and tasks, contributing to team initiatives, ad hoc projects, and process improvements as needed to support company goals.

- You bring 1–2 years of experience in billing, accounts receivable, client operations, or a related coordination role.
- You have a strong track record of managing client relationships and billing cycles, and are comfortable communicating with both internal stakeholders and clients.
- You are highly organized, detail-oriented, and reliable, capable of juggling multiple priorities without letting key deadlines slip.
- You thrive in fast-paced, dynamic environments, and are comfortable adjusting to shifting priorities, unexpected requests, and new processes.
- You’re proficient in tools such as CRMs, billing platforms, or marketing attribution systems (e.g., TrackDrive, Ringba), and can quickly learn new technologies.
- You are collaborative and resourceful, and enjoy playing a support role that makes your teammates’ jobs easier and more efficient.
- You excel at multitasking and operational follow-through, ensuring that nothing falls through the cracks—no matter how small the detail.
