Job Summary
The Payroll Manager will lead a remote payroll department that services more than 400 of our physician clients’ accounts across the U.S. This role will oversee the TPA payroll process, manage daily workflows, and ensure compliance with relevant laws and regulations. They will also be responsible for developing and implementing payroll policies and procedures.
This role requires strong leadership, multi-tasking, and expertise in payroll operations, tax filings, and client relationship management within a high-volume environment.
Key Responsibilities
Manage a department processing third party administrator payroll for a high volume of clients including individuals, practices, LLCs, and S Corps.
Oversee daily payroll workflows ensuring accuracy, timeliness, and quality.
Lead, mentor, and develop payroll team through performance management, training, and regular feedback.
Provide support by covering processor duties during absences or high-volume periods.
Manage workload distribution for equitable client assignments among team members
Supervise payroll processing for all client accounts, ensuring compliance with company policies and regulatory standards.
Manage quarterly and annual payroll tax filings, including W-2 generation and year-end reconciliations.
Investigate and resolve tax filing discrepancies, IRS and state payroll notices, and other compliance issues.
Stay current on evolving federal, state, and local payroll laws and regulations to ensure continued compliance and process updates.
Oversee payroll policies and procedures, identifying opportunities for improvement and automation.
Lead new client sales/onboarding, ensuring a smooth transition from sales to service, including intake, demo, and education.
Serve as the primary escalation point for complex client issues, ensuring prompt and professional resolution.
Promote and support additional value-added services to clients.
Track departmental performance metrics, deadlines, and accuracy goals.
Identify and implement process improvements to enhance team productivity and client experience.
Key Requirements
Bachelor’s degree in accounting, Business Administration, or related field (or equivalent experience)
5+ years of payroll experience, including 2+ years in a supervisory or management role
Proven experience overseeing multi-client or multi-state payroll operations
In-depth knowledge of payroll tax compliance, quarterly/annual filings, and W-2 processing
Experience resolving IRS or state payroll tax notices
Strong understanding of evolving payroll laws and best practices
Proficiency with Salesforce and payroll software such as iSolve
Exceptional communication, organizational, and leadership skills suited to a remote team environment
Preferred Requirements
Certified Payroll Professional (CPP)
Experience in an outsourced payroll, PEO, or accounting firm environment
iSolve software experience
Familiarity with HR platforms such as Mineral HR or other HRIS systems
