Job Description:

GENERAL PURPOSE

Under minimal supervision, prepare client invoices in an accurate and timely manner, ensuring proper execution of service lawyer instructions and facilitate a smooth billing process for internal and external clients.

ESSENTIAL FUNCTIONS

These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation.

  • Prepare and process standard prebills and complicated client invoices accurately; including task-based, parent-child, bankruptcy, and specialty billing in Elite 3e software in accordance with attorney requests.
  • Understand, prepare and process invoices for clients with agreed Alternative Fee Arrangements (i.e., fee deferrals, step discounts, fee caps); possess the ability to handle invoices and requests for high-profile clients.
  • Make time entry changes as requested by legal staff.
  • Perform special projects, research and generate and compile statistical reports as requested, including past/present balances, unbilled/billed fee statuses, bill revisions, document copies and accounts payable backup.
  • Answer client inquiries by telephone and email, conferring with lawyers regarding bill content, concerns, and requests when appropriate.
  • Explain and enforce standard timekeeping/billing policies and procedures to partners, associates, legal secretaries, and paralegals in person, by email and telephone.
  • Ensure Outside Counsel Guidelines are enforced to limit invoice rejections/reductions.
  • Meet with lawyers and legal staff to discuss special billing arrangements and Elite 3e system capabilities.
  • Be present at work during regularly scheduled working hours and as needed in the position, consistent with the firm’s attendance expectations;. ability to work overtime to meet the firm’s monthly closing and client deadlines.

SPECIFIC SKILLS REQUIRED

Ability to:

  • Express self effectively, both orally and in writing;
  • Calculate figures and amounts such as discounts, percentages and billing rates accurately;
  • Apply common sense to carry out instructions furnished in written, oral, or diagram form and deal with problems involving several concrete variables in standardized situations
  • Interpret and implement Outside Counsel Guidelines and Client Engagement Agreements
  • Accurately type 40 words per minute and use a 10-key calculator by touch; and
  • Establish effective working relationships with all levels of firm personnel.
  • Fluency in standard accounting/billing procedures.
  • Attention to detail, strong organizational skills, and the ability to multitask.
  • Perform well under pressures of heavy volumes and requests and execute assignments with minimal direction.
  • Working knowledge of MS Office applications, specifically Excel and Word, is required.

EDUCATION AND EXPERIENCE

Requires 3-5 years of related billing experience, and an AA degree or equivalent. Professional services accounting experience preferred.

This position may be filled in the following location(s). The listed compensation range reflects the typical pay for this role, though it is rare for new hires to receive an offer at the top of the range. Actual compensation may vary depending on experience, skills, market conditions, and internal equity. 

Washington state compensation range: $64,210.00 to $93,960.00 annually

Los Angeles compensation range: $70,890.00 to $ 103,730.00 annually

Oregon compensation range: $61,640.00 to $90,200.00 annually

San Diego compensation range: $69,990.00 to $ 102,420.00 annually

San Franciso compensation range: $77,690.00 to $113,690.00
