JOB OVERVIEW 

Enshored is seeking an experienced and dynamic Chief of Staff to provide comprehensive support to the CEO in managing and optimizing operations across our locations in the Philippines, Portugal, and the USA. The ideal candidate will play a crucial role in enhancing executive effectiveness, fostering collaboration, and ensuring strategic alignment across the organization.

The Chief of Staff role combines a comprehensive vision with a detail-oriented approach to assist the long-range strategy of Enshored

ROLE OBJECTIVES

  • Support CEO with program management for strategic imperatives
  • Collaborate closely with executive leadership, project managers, and cross-functional teams to ensure the successful execution of Enshored projects
  • Establish ways of working and identify opportunities for continuous improvement

RESPONSIBILITIES

Strategic Support

  • Collaborate closely with the CEO to develop and execute strategic initiatives
  • Team with Executives to chalk out and prioritize strategic business moves
  • Lead meetings and workshops with meticulous planning and coordination
  • Contribution to the Sales and Marketing team for bid and RFP responses

Operational Excellence

  • Drive team efficiencies and set key performance indicators to measure and improve team performance
  • Monitor and evaluate operational performance across BPO locations
  • Identify areas of improvement across the organization, make actionable recommendations, and implement process enhancements
  • Develop operational reports for weekly, monthly, and annual reporting

Program Management

  • Lead and complete end-to-end execution of special projects ensuring adherence to time, cost, and quality standards
  • Collaborate with project managers and teams to define project scope, goals, and deliverables
  • Establish program management methodologies using PMP or Prince2
  • Identify potential risks and develop mitigation strategies

Performance Monitoring and Reporting

  • Development of robust program monitoring status reporting tracking key metrics and KPIs
  • Analyze performance data to identify trends, continuous improvement opportunities, areas of success
  • Create, prepare, and deliver performance reports on project status, metrics, and insights to CEO and COO
  • Develop recommendations and solutions to drive continuous improvement across operations

SKILLS AND QUALIFICATIONS

A successful Chief of Staff must possess an arsenal of indispensable skills and qualifications that enable them to navigate the complexities of their role. These include:

Leadership

Demonstrate effective and trustworthy leadership, as they are responsible for planning meetings, determining business requirements, and guiding teams toward success

Cross-team collaboration

Foster a collaborative and communicative workplace to drive successful project outcomes across geographies and departments

Communication

Prepare exceptional written, verbal, and presentation communication skills to ensure information and direction are clearly conveyed to leadership and managers

Time management

Act as a steward of Enshored’s organizational efficiency and guardians of executive leaders’ time utilizing organization and planning expertise to prioritize tasks, schedule meetings and resolve work conflicts

Problem-solving

Resolve issues that arise, whether they involve workplace conflicts, vendor challenges or customer and partner concerns. Their ability to find and implement solutions helps to bolster the organization’s resilience and adaptability

EDUCATION AND/OR EXPERIENCE

  • At least 5 years of management experience in a BPO, consultancy, or equivalent setting supporting c-suite or partners
  • Preferably graduate of any business-related course program
  • Experience working in a global matrixed organization

SKILLS AND TOOLS

  • Excellent English communication skills
  • Project management training e.g. Prince2 or PMP
  • Competency in MS Office suite, ChatGPT, and Canva
