Job Description
BAE Systems is seeking experienced Business Operations-Program Administrators to join a challenging, dynamic, and rewarding contract within the Intel Community. These positions require an active Security Clearance. The successful candidates will work well in team environments, but also be capable of operating independently with minimal supervision. Candidates will be expected to effectively interact and communicate with personnel within the organization, and have exceptional management, communication, and interpersonal skills. We are looking for an experienced Program Administrator, well versed in staffing large contracts. This is a fast paced, challenging, and career-rewarding experience to assist in providing top talent and solutions on one of the most complex and high-profile programs within the IC.
Daily responsibilities may include:
  • Reviewing and vetting partner company candidate submissions
  • Ensuring communications with partner companies are maintained
  • Setting up interviews with partner candidates and project managers
  • Coordinating with finance and subcontracts teams regarding incoming resources (SPWFs, charge code changes and set up and CLIN changes)
  • Sending new hire reporting instructions and coordinating program New Hire orientation
  • Coordinating security clearance paperwork, scanning, faxing, emailing
  • Gathering, inputting, and retrieving electronic data; maintaining files and folders
  • Coordinating with PMO to collect and update input for contract deliverables
  • Researching and analyzing information and data to prepare reports, presentations, and papers
  • Scheduling and coordinating meetings, calendars, and events
  • Facilitating program review meetings
  • Preparing routine correspondence in accordance with government standards
  • Ordering supplies and maintaining inventory for PMO
  • Other administrative duties, as assigned

Required Education, Experience, & Skills
  • Three (3) years' relevant experience, especially working on contracts within the Intelligence Community
  • Bachelor's Degree from an accredited college or university, or five (5) years of related experience
  • Proven track record working in fast-paced environments and successfully managing multiple projects within required timeframes
  • Experience providing general or specialized administrative support to various offices and programs
  • The ability to clearly communicate and collaborate with multidisciplinary teams
  • Experience in documentation planning and support, project administration, program management support, scheduling, mail services, records, and data input
  • Proficiency in writing, editing, and proofreading
  • The ability to research and extract relevant data
  • Proficiency in Microsoft Office products (Outlook, Word, Excel, PowerPoint, and Publisher)
  • Ability to work independently
  • Ability to travel locally within the Dulles corridor
  • Experience supporting the government
  • Desire to receive constructive feedback to improve oneself

Preferred Education, Experience, & Skills
  • Experience working within the Intel Community, especially supporting operations
  • Ability to establish effective working relationships with corporate leaders, Customers, managers, peers, and candidates
  • Be results-driven, self-motivated, and able to prioritize tasks as mission needs shift
  • Experience organizing events such as networking, hiring, and retention events
  • Experience working on BAE Systems' programs and a solid understanding of BAE Systems' internal policies and procedures
  • Familiarity with BAE Systems' business/program review requirements
  • Familiarity with staffing and subcontracting processes
  • Familiarity with contract support

Pay Information
Full-Time Salary Range: $99410 - $168997
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
