POSITION SUMMARY
Provides global administrative support to Business Development and Sales teams to assist throughout the sales process. Tasks may include various administrative duties, learning and executing internal procurement process, ordering sales items or supplies to support Business Development and Sales teams, generating reports, managing cost centers, supporting sales campaigns/efforts as requested and all other duties. The role coordinates with the procurement team and maintains office supplies, equipment, and sales campaign items. Assists with compliance and due diligence tasks for North American and international sales efforts, as needed. This role directly supports the Business Development Manager and Chief Commercial Officer (“CCO”); as well as Regional Sales Vice Presidents (“RVPs”) and Regional Sales Directors (“RSDs”) globally.
JOB RESPONSIBLITIES
- Manages the procurement process for business units, including but not limited to the creation of purchase requisitions and orders, finalizes payment for services and goods, and coordination with Business Development Manager or other managers for approvals.
- Assists in planning and administrative tasks for Business Development and Sales teams efforts.
- Coordinate with Business Development and Sales teams as appropriate for specific projects and campaigns.
- Orders and ships items nationwide and internationally.
- Work with management to support special contractual requirements and/or customer requests.
- Works closely with other administrative staff and supports other colleagues as needed.
- Conducts compliance and due diligence reviews and collection of information on prospects.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Ensures that deadlines are met and adapts to changing priorities.
- Presents a positive and professional image for the organization.
- Research as requested and compiles and summarizes information for reports or presentations.
- Input and updates information in sales databases and spreadsheets, as directed by the Business Development Manager.
- Prepare meeting agendas and take meeting minutes for Sales and Business Development teams, as directed.
- Coordinates with marketing and concierge teams on logistics for meetings, including room setup and catering, materials, etc.
- Perform other duties as assigned.
- Coordinate or address any technical inquiries from the customer (Sales and Prospects) with the proper Embraer designated business unit service.

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES
Education:
- Bachelor's degree required.
Knowledge, Skills & Abilities:
- Basic financial and budget monitoring understanding
- Internal inventory control
- Demonstrate above average proficiency in Microsoft office tools
- Must be able to work independently with little supervision
- Must possess strong written and verbal communications skills
- Time management, multitasking, organizational skills, and flexibility
- Accuracy and keen attention to detail
- Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette
- Ability to work well under pressure and navigate multiple deadlines

Experience:
- FLSA Exempt, Intermediate Level Administrative Professional Contributor on a Project or Work Team.
- 1-3 years of experience in responsibility with experience related to administrative work, and/or Business Development and Sales.
- SAP knowledge/experience, a plus
Working Conditions / Environment / Special Requirements
- Ability to work in a safe professional manner adhering to all regulatory requirements including OSHA, EPA, State and Federal regulations.
- Employees will be subject to random drug and alcohol testing under FAA regulations
- Some travel will be required to support Business Development and Sales
