ABOUT THE POSITION
Virtuos is seeking a highly organized, proactive, and commercially minded Business Assistant to support our Chief Revenue Officer and global commercial organization. This is a critical enabling role at the center of a fast-moving, globally distributed sales team — one that touches every facet of how we go to market, engage clients, and drive revenue across the interactive entertainment industry.
You will be the operational backbone of the CRO, keeping an executive who is constantly in motion — across time zones, client meetings, industry events, and internal strategic sessions — focused on what matters most. You will own the rhythm of business for the commercial team, run the administrative infrastructure that makes the sales org hum, and show up in the field when it counts.
This role is ideal for someone who thrives in ambiguity, moves fast, communicates with precision, and genuinely cares about the business they support. Prior experience in technology, gaming, SaaS, or professional services is a strong differentiator.
What You'll Do
Executive & Calendar Management
- Manage all scheduling and calendar logistics for the CRO across a globally distributed team, including coordination with colleagues and clients in APAC, Europe, and North America time zones.
- Proactively prioritize, protect, and sequence the CRO's time — anticipating conflicts, resolving scheduling gaps, and ensuring the right prep time exists before high-stakes meetings.
- Own inbox triage and correspondence management; draft, review, and send communications on behalf of the CRO as appropriate.
- Manage travel logistics end-to-end: flights, hotels, ground transport, and visa requirements for domestic and international trips including industry events, client visits, and internal summits.
Rhythm of Business & Meeting Operations
- Design, maintain, and drive the commercial team's rhythm of business — including weekly pipeline reviews, monthly business reviews, QBRs, deal strategy sessions, and offsites.
- Own the full meeting lifecycle: set agendas, circulate pre-reads, facilitate or attend as scribe, capture action items, and ensure follow-through from all stakeholders.
- Maintain a master calendar of recurring commercial cadences and ensure the broader sales organization is aligned and prepared.
- Track open actions and decisions across the commercial leadership team; follow up to ensure items are completed on time.
Sales Organization Support
- Serve as a connective tissue across the commercial team — supporting BDMs, KAMs, the Sales Operations Director, and cross-functional partners in Marketing, Finance, and Studio leadership.
- Coordinate internal business reviews, account strategy sessions, and cross-studio commercial discussions, ensuring materials are prepared and distributed in advance.
- Support the preparation and packaging of CRO-level presentations, board decks, and pipeline reports — pulling data from Salesforce and other sources as directed.
- Assist in onboarding new commercial team members, coordinating access, introductions, and orientation schedules.
Events, Conferences & Field Support
- Plan and coordinate Virtuos participation in key industry events including GDC, Gamescom, Tokyo Game Show, and client summits — managing logistics, registration, scheduling, meeting rooms, and team coordination.
- Travel to select events to provide on-site operational support: managing the CRO's schedule, facilitating client meeting logistics, and ensuring the team is set up for success in the field.
- Track and manage post-event follow-up pipelines: meeting summaries, action items, and handoff to BD for qualified opportunities.
Operations & Administration
- Process and reconcile expense reports for the CRO and, as needed, broader commercial team; coordinate with Finance and accounting as required.
- Manage contracts, NDAs, and vendor coordination as appropriate in support of commercial activity.
- Maintain organizational tools, shared drives, and documentation standards that keep the commercial team operating efficiently.
- Anticipate the CRO's needs before they are expressed — preparing briefing documents, background research, and context ahead of critical engagements.
What You Bring
- 5+ years of experience as an Executive Assistant, Business Assistant, or in a comparable administrative/operational support role within a technology, gaming, SaaS, media, or professional services company.
- Exceptional organizational skills and a demonstrated ability to manage competing priorities across a fast-moving, globally distributed team.
- Strong written and verbal communication skills — you can write a crisp email, set a clear agenda, and take notes that actually capture what matters.
- Confidence and composure in high-stakes environments — whether that's a board meeting, a client dinner, or the GDC show floor.
- Proficiency with the tools of modern work: Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel), Salesforce (or similar CRM), and video conferencing platforms.
- Experience planning and coordinating business travel, domestic and international, including multi-leg itineraries and group event logistics.
- Genuine interest in the video game industry — you don't need to be a developer, but you should know who our clients are and why this industry matters.
- Discretion and trustworthiness, this role sits at the center of sensitive commercial and strategic information.
Good to Have
- Familiarity with Salesforce for basic reporting, dashboard review, or pipeline data entry.
- Prior experience supporting a CRO, VP of Sales, or revenue-focused executive.
- Exposure to game development, co-development, or digital entertainment industry dynamics.
- Experience working across time zones, particularly with APAC-based colleagues or clients.
The base salary range for this role is between $72,000-$90,000 per year.
Virtuos maintains a location-based compensation structure; therefore, the salary range may vary for candidates residing in different geographic markets.
