Brand Consulting - Innovation and Business Operations Assistant

The Role
This individual will work as an Assistant in the Brand Consulting department supporting operational efficiency of the LA office while driving innovation initiatives. This position focuses on enhancing office functionality, cultivating team culture, and keeping the department at the forefront of emerging technologies and marketing opportunities for corporate clients. This role is most suitable for those with interest in pursuing a career in marketing with a passion for operational excellence and innovation.
Responsibilities
Office Operations & Team Culture
- Ensure the LA office runs smoothly by monitoring supplies, equipment, cleanliness in coordination with CAA Facilities to create an optimal working environment
- Support management of office hoteling for LA employees and visitors
- Support and help lead internal events, team meetings, and culture-building activities to strengthen the LA Brand Consulting team dynamic
- Assist with coordinating employee experience initiatives including team building activities, celebrations, and recognition programs
- Ensure that office communication channels are efficient, acting as the main point of contact for internal and external stakeholder
- Manage visitor experience, including meeting preparation, hospitality coordination, and office tours when appropriate
- Troubleshoot minor technical issues or coordinate with IT support
- Serve as a point of contact for facility-related issues and coordinate with building management
Innovation & Technology Initiatives
- Research emerging technology platforms, vendors, and trends relevant to brand partnerships and client opportunities
- Assist in coordinating meetings and taking notes with emerging tech vendors and potential innovation partners
- Create and maintain resources to keep strategy and experiential teams informed about new technology developments and potential applications
- Support innovation workshops and ideation sessions for the Brand Consulting team
- Compile regular updates on innovation trends and discoveries for internal newsletters and knowledge sharing
Core Innovation Administrative Support
- General research as required on talent, industry trends, competitors, brands, territories and events
- Pitch presentation preparation including creating, formatting, and proofing power point decks
- Assist in producing presentations for client meetings, including driving decks and recording meetings as needed
- Provide administrative support including scheduling, coordinating meetings, correspondence, status reports, updating contact lists, property/talent asset trackers and special projects as needed
- Assist with tracking and organizing account finances, including budgets, expenses, invoices, booking reports, check requests, retainer fees, and revenue tracking
- Gather data, analytics, and trends for various topics and projects
- Track and communicate account updates, including monthly dashboards and newsletters
- On-site event support and planning coordination/logistics tracking as needed
Qualifications
- 12-24 months of professional administrative and/or office support or equivalent experience preferred
- Minimum of a Bachelor's degree in Arts, Business or the equivalent preferred
- Work well in fast-paced environments, meet tight deadlines, lead multiple projects and expectations, and maintain a sharp focus while handling competing priorities
- Strong interest in operational management, emerging technologies, entertainment, sports and pop culture
- General understanding of current brand consulting industry and the nature of a talent agency
- Technologically Savvy (MS PowerPoint, Excel, Word, Outlook, Keynote, Photoshop). Social Media/Digitally versed. Up to speed on foundational AI models such as ChatGPT, Claude and Gemini
- Detail-oriented, proactive, and solutions-driven
- Strong communication, research, and insight presentation skills
- Able to listen, ask insightful questions, and build trust through relationship-building and business acumen
- Familiar with emerging tech platforms and digital innovations
- Skilled in organizing information and creating accessible knowledge resources
Location
- On-Site in Los Angeles, CA.
Compensation
The base hourly rate for this position is $22.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
