We are seeking a detail-oriented, organized, and dependable Bookkeeper to manage and maintain accurate financial records for the organization. The Bookkeeper will be responsible for recording financial transactions, maintaining accounts payable and accounts receivable, reconciling bank and credit card accounts, preparing financial reports, processing invoices and payments, and supporting general accounting activities.

The ideal candidate has strong attention to detail, excellent organizational skills, solid knowledge of bookkeeping principles, and the ability to handle confidential financial information. The successful candidate should be comfortable working independently, meeting deadlines, identifying discrepancies, and communicating effectively with management, vendors, customers, and accounting professionals.

Key Responsibilities
Maintain accurate and up-to-date financial records and accounting documentation.
Record daily financial transactions, including income, expenses, deposits, payments, and adjustments.
Maintain general ledger accounts and ensure transactions are properly categorized.
Process accounts payable and accounts receivable transactions.
Prepare, review, and process invoices, bills, receipts, and payment documentation.
Monitor outstanding customer balances and follow up on overdue accounts.
Process vendor payments and maintain accurate vendor records.
Reconcile bank accounts, credit card accounts, and other financial accounts on a regular basis.
Investigate and resolve discrepancies between accounting records, bank statements, invoices, and other documentation.
Prepare and maintain financial spreadsheets and bookkeeping reports.
Assist with monthly, quarterly, and year-end closing procedures.
Prepare financial reports and summaries for management.
Maintain accurate records of cash receipts, disbursements, deposits, and transfers.
Track expenses and ensure transactions are properly documented.
Process payroll information or assist with payroll processing, when applicable.
Maintain employee expense and reimbursement records.
Assist with budgeting, forecasting, and financial analysis as requested.
Prepare documentation and records for accountants, auditors, tax professionals, and management.
Maintain organized electronic and physical financial files.
Ensure financial records are retained and organized according to company policies.
Monitor accounting-related deadlines and ensure required tasks are completed on time.
Protect confidential financial, employee, customer, and company information.
Communicate with vendors, customers, financial institutions, and internal departments regarding financial matters.
Assist with audits, tax preparation, and other accounting-related activities.
Identify accounting errors, unusual transactions, and potential discrepancies and report them appropriately.
Perform other accounting and administrative duties as assigned.
Accounts Payable Responsibilities
Receive, review, and verify vendor invoices.
Match invoices with purchase orders, receipts, or supporting documentation when applicable.
Enter invoices into the accounting system.
Schedule and process vendor payments.
Maintain accurate accounts payable records.
Respond to vendor inquiries regarding invoices and payments.
Research and resolve billing discrepancies.
Monitor payment deadlines and outstanding obligations.
Accounts Receivable Responsibilities
Prepare and issue customer invoices.
Record customer payments and deposits.
Maintain accurate customer account balances.
Monitor outstanding receivables.
Follow up on overdue invoices professionally.
Research payment discrepancies and account issues.
Prepare accounts receivable reports.
Reconcile customer accounts as necessary.
Bank Reconciliation
Reconcile bank and credit card statements with accounting records.
Identify missing, duplicate, or incorrectly recorded transactions.
Research discrepancies and make appropriate corrections.
Maintain documentation supporting reconciliations.
Ensure financial accounts are accurately reflected in the accounting system.
Financial Reporting
Prepare regular bookkeeping and financial reports.
Assist with income statements, balance sheets, cash-flow reports, and expense reports.
Provide financial information to management as requested.
Maintain accurate supporting documentation for financial reports.
Assist with month-end and year-end reporting activities.
Required Qualifications
High school diploma or equivalent required.
Previous bookkeeping, accounting, finance, or related experience preferred.
Understanding of basic accounting and bookkeeping principles.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Ability to maintain confidential financial information.
Strong analytical and problem-solving skills.
Ability to identify discrepancies and investigate financial issues.
Strong written and verbal communication skills.
Proficiency with computers and standard office software.
Ability to work independently and meet deadlines.
Preferred Qualifications
Associate's or bachelor's degree in accounting, finance, business administration, or a related field.
Previous experience as a Bookkeeper, Accounting Clerk, Accounts Payable Clerk, or Accounts Receivable Clerk.
Experience with QuickBooks, Xero, NetSuite, Sage, or other accounting software.
Experience with payroll processing.
Experience preparing financial statements and reports.
Experience with bank and credit card reconciliations.
Experience supporting audits and tax preparation.
Familiarity with Generally Accepted Accounting Principles (GAAP).
