Cooley is seeking a BIC Specialist (Specialized Conflicts) to join the Business Intake and Conflicts team.

Position summary:  The business intake and conflicts function is essential to the firm’s (1) compliance with (a) ethical obligations prevailing in jurisdictions in which the Firm maintains offices and in which it practices and (b) the firm’s risk management policies and procedures, (2) avoidance of malpractice claims and ethical violations, and (3) ability to onboard new business, in the form of new clients and new matters for existing clients, new timekeepers and new employees in a timely fashion.

Working closely with the Associate Director of Conflicts, BIC Supervisor (Specialized Conflicts) other Directors and Managers of the New Business, Specialized Conflicts, Compliance & QA, and Operations teams as well as the Conflicts Staff Attorneys, the BIC Specialist (Specialized Conflicts) is responsible for participation and research related to department initiatives.  This includes assisting with policy and procedure drafting and editing cycles, lateral candidate submission coordination and operations function.  The BIC Specialist (Specialized Conflicts) will serve as a flexible resource, cross-trained throughout the department to assist in areas of need.  Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities

Primary Laterals:

  • Review incoming firm wide attorney, paralegal and business professionals conflict check submission forms
  • Create lateral  conflict folders
  • Update lateral conflicts spreadsheets
  • Maintain accurate tracking of partner candidates’ status and to-do items
  • Schedule internal meetings regarding lateral partner conflicts
  • Prepare requests and associated engagement letters for onboarding lateral partners
  • Assist Associate Director, BIC Supervisor (Specialized Conflicts) and Conflict Staff Attorneys with obtaining pre-approvals related to onboarding lateral partners
  • Communicate with recruiting/HR, attorneys and other department members regarding lateral Intake
  • Help maintain cross-reference database
  • Run conflict reports, as needed
  • Run and clear contract attorneys, as needed

Other:

  • Provide training to all BIC new hires on various systems and tasks as necessary
  • Understand the American Bar Association (ABA) Model Rules of Professional Conduct as adopted in each state in which the Firm maintains an office, and jurisdictional differences in all states, countries and practice areas in which the Firm conducts business
  • Conduct research projects as assigned relating to conflicts of interest, operations and project issues
  • Conduct research projects on corporate affiliations and corporate relatedness
  • Assist with ethical screen database clean up
  • All other duties as assigned or required.

Skills and experience

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required
  • 3+ years direct applicable years’ experience (e.g., business intake and conflicts, legal or professional services)

Preferred:

  • Bachelor’s degree
  • Paralegal certificate
  • Experience working in a law firm or other professional services environment

  • Ability to work independently with little or no supervision
  • Ability to work in a fast-paced challenging environment

The expected hourly pay range for this position with a work schedule of 40 hours per week is $33.00 - $48.00 ($68,640.00 - $99,840.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
