As Associate Project Manager (APM), you provide project support to help 
ensure that projects are completed on time, on budget, and meet Red 
Nucleus quality standards. While completing tasks that are critical to project 
success, you will also gain exposure to the entire project development 
process. This training, exposure, and experience may position you to become 
a Project Manager in the future.

As part of your daily responsibilities, you work closely with roles such as 
Project Managers (PM), Account Managers (AM), Medical Writers (MW), 
Instructional Designers (ID), Artists, Developers, Medical Editors (ME), and 
Editorial Associates (EA) as well as the Client Service Director (CSD) who 
leads the team. 

RESPONSIBILITIES
Your responsibilities as an APM are divided into 6 core areas: Business 
Development, Timeline Development and Management, Client Interaction, 
Team Management, Tactical Development, and Financial Management. The 
tasks and responsibilities within these core areas will expand over time as 
you progress through your journey and gain knowledge, skills, and 
experience in the role. 

Business Development

  • Assist in the completion of Requests for Information (RFIs)
  • Set up proposal shells and/or pitch deck files; integrate 
    standard/existing content as directed
  • Participate in brainstorming sessions

Timeline Development and Management

  • Create first drafts of timelines for core offering projects 
    (requires PM/CSD review)
  • Update project timelines as dates change throughout the 
    project
  • Update team task list with input from PMs or CSD 

Client Interaction

  • Listen in on client status calls
  • Create/update status reports and call recaps based on call 
    participation and project progress 

 Team Management

  • Coordinate MLR submission efforts with your team’s assigned 
    EA in the Pune, India office
  • Support CSD/PM in completing client and project-related 
    requests as needed

Tactical Development 

  • Complete general freelance contract agreements with input 
  • from CSD/PMs
  • Purchase/scan references for team writers
  • Clean track changes and comments before materials are 
    ready for delivery to a client
  • Serve as RN administrator for client MLR systems
  • Prep, upload, and complete MLR submissions
    Download/share comments (client/MLR) with team
  • Communicate with and schedule audio and video talent
  • Set up, edit, and execute audio recordings (including script 
    preparation, directing sessions, post-production of files, etc.)
  • Serve as production assistant for video shoots (including 
    preparing scripts, creating shot lists, working with video 
    producer/director to create a schedule for shoots, casting, 
    securing talent release forms, purchasing/securing props and 
    wardrobe, running teleprompter)
  • Identify and integrate time code details into storyboards for 
    development team
  • Create citation sequencing when requested by CSD/PM
  • Assist in workshop preparation/execution (eg, research & 
    order props and supplies, create materials & print 
    spreadsheets)
  • Clean/archive project files

Financial Management

  • Enter freelancer (including talent) invoices into BigTime, code,
    and provide to Finance department for processing/payment
  • Code receipts for pass-through costs (such as reference
    articles and other expenses) and provide to Finance 
    department for processing
  • Help to monitor statements of work against key project 
    deliverables to ensure alignment with budget (eg, performing 
    screen counts and seat time checks)
  • Run various project/team reports (eg, budget to actuals 
    comparison, etc.)

REQUIREMENTS

  • Bachelor’s degree (BA/BS)
  • The ability to work full-time in our Yardley, PA office, including ability 
    to occasionally work evenings or weekends to meet project deadlines
  • Exceptional teamwork, interpersonal, communication, and 
    organizational skills
  • The ability to independently, proactively, and effectively prioritize and 
    manage multiple tasks
  • A high level of motivation, adaptability, curiosity, and the capability to 
    deal with pressure positively
  • Willingness and ability to occasionally travel to client meetings/events
  • Experience with/exposure to project management, 
    creative/instructional content development, graphic design, 
    programming, media creation, content editing, and/or quality 
    assurance
