- Extract and organize key information from lease agreements and generate formal memo to authorize updates to the database.
- Perform final quality review of lease information abstracted into the database.
- Ensure proper document management measures are followed for all leased, owned and other associated documents. Maintain file retrieval/storage, scan documents, and open/distribute mail
- Review annual operating expense reconciliations and perform desktop audit to ensure all expenses are consistent with the terms of the lease.
- Must possess the ability to produce accurate financial reporting to client. This includes the confirmation of rent changes and the development of month over month variance analysis, special handling requests, and all necessary steps to ensure the proper monthly payments to landlords.
- Communicate frequently with internal and external partners. Notify client of critical dates, real estate policies and procedures, and assist with general inquiries
- Request and process certificates of insurance as required by the lease document
- Review Estoppels against the lease terms
- Regularly exercises good judgment and logic in responding to leased and owned property inquiries from the client and/or landlords
- Ensure that productive landlord and subtenant relationships are maintained in accordance with the lease and sublease agreements
- Assist Senior Managers with timely and accurate financial and critical date reports for client presentment, identify and record savings, identify exceptions, investigate causes of exceptions, and recommend solutions
- Assist or oversee special projects as requested by the client or leadership
- Perform standard processes established for the client and recommend new approaches, policies and procedures to drive continuous improvements and efficiencies.
- Assist manager or oversee the creation and continuous updates to process playbooks
Requirements
- BA/BS degree required preferably in Finance, Accounting, Real Estate, or related business areas.
- Minimum of 5 years’ experience in commercial Lease Administration
- Excellent communication, organization, analytical and multi-tasking skills are required.
- Strong knowledge and demonstrated competence on various software, databases, analytical tools, including Microsoft Office Suite and SharePoint as well as superior knowledge and skill using Excel.
- Must have the ability to interpret complex lease agreements.
- Must be self-motivated with the ability to work independently and have the ability to create detailed financial and analytical reports, business correspondence, and procedural manuals.
- Must have the ability to effectively present information and analysis and respond to questions from internal and external sources.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
