We aim to be the primary service provider for the people and entities responsible for the care, movement, and long-term preservation of art and culture.
To that end, our Assistant Dispatcher serves as a liaison during projects, ensuring the safe handling of artworks for exit of the facility, during transit, through to the delivery during onsite projects. In addition, our dispatchers work to ensure that client related billing, general service, and other questions are handled in a timely, eloquent fashion.
Responsibilities:
Providing client-facing and driver-facing communications, including confirmation ETAs, scope of work, special instructions, generation/organization of workday paperwork, etc.
Monitors driver progress on tracking systems and mediates any ongoing changes to the schedule or the scope of active trucks.
Provides general administrative and logistical support to the Drivers.
Communicate start times to drivers daily or weekly.
Work with the Logistics Manager to ensure all trucks are properly registered and insured as well as keeping track of the trucks that are down for repair/unavailable.
Finances - Calculate, complete, and submit mileage; assist drivers with expense reports and approve/deny reports; request purchase orders and make purchase; and book hotels for drivers on layover and OTR as needed.
HR Support - Onboarding assistance, Time Card/Attendance Tracking, and assist drivers with logging into office computers to complete tasks and training for compliance
Limited/Potential Responsibility - Safely operate a 26-ft box truck
Qualifications:
2-3 Years Prior Logistic Company Transport, Commercial Art Logistics and/or Relevant Fine Art experience
1 Year Administrative Support Experience in a considered a plus
Skills - Effective verbal/written communication; proofreading skills; keen sense of accuracy; attention to detail; discretion; professionalism; urgency; timeliness; internal/external customer service; team player
Desire to be part of a rapidly expanding business
Proficient technology including Microsoft Office, specifically Excel, and Google Suite. CRM and AIMs system experience preferred
Valid Driver's License, with a Clean/Clear driving record, with ability to pass all driving checks
