(CPA) is Southern California’s locally operated not-for-profit default electricity provider for 35 communities within Los Angeles and Ventura counties and the 4th largest electricity provider in the State of California. What You’ll Do

CPA seeks an experienced, detailed-oriented, and enthusiastic professional to join our growing team as Assistant, Administrative.  This position will have responsibility for a wide range of matters to support CPA's Chief Administrative Officer (CAO) with a variety of administrative tasks as well as supporting other Directors. 

The Assistant, Administrative plays a key role in supporting the CAO on a day-to-day basis.  This includes both routine administrative functions as well as a variety of non-routine duties requiring complex and highly responsible administrative duties with sound judgment, discretion, confidentiality, and tact.  The Assistant, Administrative also assists other Directors overseeing the functional areas of Data and Systems and Customer Care.

The Assistant, Administrative reports to the Chief Administrative Officer and will work closely with the Director, Data and Systems and Director, Customer Care.  In addition, the Assistant will work with a wide variety of internal and external stakeholders to conduct various job responsibilities.

Requirements
  • Excellent verbal and written communication skills. 
  • Excellent organizational, scheduling, time management skills and attention to detail. 
  • Ability to work independently on projects with minimum supervision. 
  • Ability to act with integrity, professionalism, and confidentiality. 
  • Ability to fully own tasks, work, and processes with minimal oversight. 
  • Knowledge of modern office procedures and practices including preparing correspondence and operating modern office equipment. 
  • Highly proficient with Microsoft Office Suite, particularly PowerPoint, and advanced knowledge of Excel. Experience working with Tableau or other data visualization tools.  

Duties and Responsibilities

  • Administrative Support: For the CAO and Directors reporting directly to the CAO, coordinate communication between various functional units, maintain calendars, schedule meetings, manage conference room reservation process, distribute reports and keep all parties informed of general business operations. Prioritizing emails and responding when necessary, answering and responding to phone calls, communicating messages and information, managing travel, expenses, and expense reports, and taking minutes during meetings.  
  • Correspondence: Proactively prepare routine correspondence and follow-up correspondence; gather and analyze information required for administrative reporting; support other Directors, as needed. Assist the CAO in the development and organization of materials, including document production, editing or proofing, and/or collection of information from staff or from external sources (e.g., internet search, calling public agencies or public agencies’ website, etc.). Format information for internal and external communication – memos, emails, presentations, reports. Coordinate and prioritize CAO signature requests and approvals from all staff.
  • General Office Support: Work with other administrative staff to order food, book meeting rooms, ensure proper audio-visual support, organize staff meetings and other staff functions, greet external guests of the CAO, troubleshoot issues and, when appropriate, suggest more efficient operations or procedures.
  • Project Coordination: Support diverse special projects as needed, from planning stage through close-out. Organize files, create correspondence, prepare reports and documents, and offer general staff support.
  • Other duties as assigned.

Qualifications

  • Candidates must have a bachelor’s degree and at least 4 years of administrative support experience.
  • Experience supporting senior executives or C-Suite with complex administrative needs in a fast-paced setting (required)
  • Experience using customer relationship management (CRM) and/or contract lifecycle management (CLM) platforms for workflow management and reporting (preferred)

Work Location 

This position is a Hybrid role and requires attendance in our downtown Los Angeles office on a full-time basis 2- 3 days per week on days determined by CPA, with work location on the remaining days either in office or remote. This includes an enhanced transportation allowance. This role also requires in-person attendance at organization or team-wide events 3 times per year for 3-5 days per event.  CPA’s office hours are 8:30am-5:30pm PST.

Benefits

The salary range for this non-exempt position is $100,729-$151,093 with exact compensation to be determined by Clean Power Alliance, dependent on experience. Benefits include health care, a 401(k)-like match program, paid vacation, and sick leave. This is not a civil service position; however, all CPA employees are required to submit a Statement of Economic Interests form, also known as the Form 700.
