Job Duties:
Rotate reception duties with Customer Service Team:
- Admit and greet visitors and employees. Maintain check-in sheet.
- Answer incoming calls using a multi-line switchboard and transfer as determined.
Mail management:
- Visit post office weekly to retrieve mail.
- Sort and distribute incoming mail and packages.
- Mail outgoing packages via FedEx or USPS.
- Organize, order, and maintain office supplies.
- Assist in updating email distribution lists.
- Create daily and ad hoc reports.
- Assist the administrator on multiple digital platforms (JB Hub, SevenFifty, GlobalWorx, GoSpotCheck, DiPA).
- Handle customer administration including setting up new customer accounts, updating customer information, and performing customer depletion as necessary.
- Track expired, suspended, and cancelled customer state alcohol permits daily. Perform routine manual permit checks monthly.
- Enter holiday delivery schedules.
- Assist Credit Manager with credit requests from chain customers by researching, collecting supporting documentation, and digitizing invoices.
- Scan and index important confidential files and maintain the document management system.
- Perform a wide variety of administrative duties as assigned.
- Fill in and assist other team members as needed.
Requirements:
- In office Monday – Friday, 8:00 am – 5:00 pm.
- Associate/bachelor’s degree preferred; High School Diploma required.
- 2+ years of experience in customer service or an administrative/support position.
- Effective written and verbal communication skills.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
- Detail oriented with strong organizational skills.
- Fast and accurate typing skills.
- Proficient with 10-key.
- AS400/IBMi experience preferred.
- Ability to multi-task and meet deadlines in a fast-paced work environment.
- Effective problem-solving skills when encountering new and unique challenges.
Candidate must be able to pass a criminal background check.
