Administrative & Data Coordinator

Position Overview

Sierra Forensic Group is seeking a highly organized, detail-oriented, and proactive Administrative & Data Coordinator to support the firm's daily administrative operations while ensuring the accuracy and integrity of our CRM and internal business systems.

This role combines executive administrative support with CRM and data management responsibilities. The ideal candidate is process-oriented, technology-savvy, and committed to maintaining organized systems, accurate data, and efficient business operations. This individual will play a key role in supporting leadership, maintaining operational consistency, and ensuring the firm's business systems remain accurate and up to date.

 

Primary Responsibilities

Administrative Support

  • Provide executive and administrative support to leadership.
  • Manage calendars and schedule meetings
  • Maintain SharePoint and document organization.
  • Assist with user accounts, software licenses, and system access.
  • Administer professional licenses, certifications and renewals.
  • Prepare, format, and distribute business documents and electronic signature requests.
  • Support operational and administrative requests across the firm.
  • Assist with onboarding coordination and training.

CRM Maintenance

  • Maintain contact HubSpot data.
  • Perform daily outbound communications through HubSpot and LinkedIn
  • Monitor CRM communication and tasks through HubSpot and LinkedIn.

Qualifications

  • 2-5 years of experience in administrative coordination, office administration, operations, or a similar role.
  • 2-5 years of experience with HubSpot CRM (required)
  • Professional proficiency in English (C1 or equivalent),
  • Proficiency with Microsoft 365, including Outlook, Excel, Word, Teams, and SharePoint.
  • Strong organizational and time management skills.
  • Exceptional attention to detail and commitment to data accuracy.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional written and verbal communication skills.

Administrative Support

  • Administrative processes executed consistently and in accordance with company procedures.
  • Meetings scheduled, coordinated, and documented efficiently.
  • SharePoint and internal documentation maintained in an organized and up-to-date manner.
  • User accounts, software access, licenses, and certifications maintained accurately.
  • Onboarding activities are completed on schedule.
  • Repond communication / 24hrs

CRM Maintenance

  • HubSpot contact records maintained with 98%+ data accuracy.
  • Outbound communications executed according to assigned workflows and schedules.
  • HubSpot tasks and LinkedIn follow-ups completed by their due dates.

Equipment Requirements:

  • Computer with at least 8GB RAM, Intel i5/AMD Ryzen 5 processor or higher
  • Minimum internet speed of 100 Mbps upload and download (preferred: 150 Mbps or higher for best performance)
  • Noise-canceling headset with extended mic and webcam
  • Backup computer and internet connection

Workspace Requirements:
