Job Summary

The Administrative Coordinator plays a key support role in the daily operations of the Irwindale office, providing front-line administrative assistance, accurate data entry, and organization. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.

Essential Functions

  • Greet and assist visitors, answer phone calls, and respond to general inquiries in a professional manner.
  • Provide administrative office support.
  • Assist with management of calendars and scheduling meetings for leadership
  • Handle incoming and outgoing correspondence, including sorting mail, distributing packages, and maintaining office communications.
  • Maintain office and janitorial supply inventories and coordinate replenishment as needed.
  • Prepare meeting locations and provide hospitality support for visitors, meetings, and internal events, including coordinating refreshments, lunches, and ensuring meeting spaces are properly set up.
  • Coordinate and support monthly employee luncheons and other company-sponsored events for the company's California and North Carolina warehouse locations.
  • Perform occasional business-related errands outside of the office
  • Assist with special projects and perform additional duties as assigned by Management and other personnel in leadership.
  • Assist with administrative event coordination, as needed.
  • Additional duties may be assigned as necessary to meet business and operational needs.

Requirements


Qualifications

  • High school diploma or equivalent preferred
  • Prior experience in commercial cleaning, janitorial, custodial, or facility maintenance preferred
  • Ability to work independently and efficiently with minimal supervision
  • Strong attention to detail and commitment to cleanliness and organization
  • Ability to follow cleaning schedules, safety procedures, and company standards
  • Reliable attendance, punctuality, and dependable work performance required
  • Ability to safely use cleaning chemicals, supplies, and equipment
  • Ability to lift, carry, push, and pull cleaning equipment and supplies as needed
  • Ability to stand, walk, bend, reach, and perform repetitive physical tasks throughout the workday
  • Strong time management and organizational skills
  • Ability to maintain professionalism while working in executive offices and administrative areas
  • Ability to communicate effectively with supervisors and staff regarding facility needs or concerns
  • Flexibility to assist with additional cleaning or facility-related tasks as assigned

Physical Requirements

This position requires the ability to sit or stand for extended periods while performing administrative and data entry tasks. The employee must be able to use a computer keyboard and monitor for prolonged periods with accuracy and attention to detail. The role also requires the ability to occasionally stand, walk, bend, and reach to greet visitors, prepare meeting spaces, and assist with light office setup. The employee must be able to lift or carry light office supplies and materials, typically up to 15–20 pounds, and must be able to drive and operate a personal or company vehicle for occasional business-related errands.

Work Environment

This position works primarily in an indoor office environment at the company's Irwindale, CA headquarters. The employee will regularly interact with visitors, executives, and staff, and must maintain a professional appearance and demeanor at all times. The role requires frequent use of office equipment such as computers, phones, and printers/scanners, and may involve occasional exposure to standard office noise and activity levels. The employee must be able to maintain confidentiality and professionalism while working in and around executive and administrative spaces, and may occasionally travel locally to complete business-related errands.
