Key Responsibilities
Administrative Support
- Manage calendars, appointments, and meeting schedules for managers or executives
- Prepare reports, presentations, spreadsheets, and internal documents
- Maintain accurate filing systems for both physical and digital records
- Perform data entry and update company databases regularly
- Draft correspondence, memos, and reports
Communication Management
- Answer phone calls and respond to emails professionally
- Coordinate internal and external communications
- Relay messages to appropriate departments or personnel
- Assist with customer inquiries when needed
Office Coordination
- Order office supplies and maintain inventory levels
- Coordinate office maintenance requests
- Schedule conference rooms and meeting spaces
- Assist in organizing company meetings, conferences, and events
Travel & Scheduling
- Arrange travel accommodations and itineraries for executives or employees
- Coordinate transportation arrangements
- Track travel expenses and reimbursements
Record Keeping
- Maintain confidential employee and company records
- Process invoices, expense reports, and purchase orders
- Assist with payroll documentation when necessary
Team Support
- Support HR with onboarding paperwork
- Assist departments with administrative projects
- Monitor deadlines and follow up on tasks
Required Qualifications
- High school diploma or GED required
- Associate’s or Bachelor’s degree preferred
- 1–3 years of administrative experience preferred
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Ability to maintain confidentiality
