What We Need

We are currently seeking an experienced Administrative Assistant for our Burlington, MA office.  In this role you will be the primary administrative assistant, responsible for performing a wide variety of administrative and office tasks to provide a high level of support for executives, engineers, and corporate staff. 

This position is full-time in the office at our Burlington, MA location.

What You'll Do

General Administrative Support

  • Creating and editing presentations for formatting, grammar, spelling, and content review
  • Coordinating and maintaining schedules and travel arrangements in coordination with the Executive Assistant
  • Preparing and processing expenses as needed
  • Assisting the CEO as needed when the Executive Assistant is not available
  • Assisting employees with ad-hoc requests

General Office Support

  • Providing front desk coverage, including low-volume phone coverage and greeting visitors
  • Maintaining inventory, organization and upkeep of supply/copy room, conference rooms, and kitchen area
  • Sorting and scanning mail
  • Shipping/receiving
  • Coordinating onsite meetings for internal employees and external customers, including setting up web conference systems, catering, room setup/clean-up, etc. 
  • Coordinating equipment maintenance (copy machines, kitchen appliances, etc.)
  • Assisting Human Resources with local candidate interview scheduling
  • Placing regular catering orders, including receiving deliveries and setting up items in the common area

Who You Are

  • Minimum 3 years of administrative experience, including support to a team and senior/executive-level staff
  • Experience working in a professional services or tech/software company is helpful
  • Exceptional attention to detail and ability to manage multiple tasks simultaneously
  • Advanced working proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Proficiency in online conferencing tools (e.g., Zoom, Microsoft Teams)
  • Strong editorial and proofreading skills
  • Must be able to demonstrate strong organizational, planning, monitoring of tasks, and follow-up skills
  • Demonstrated problem-solving skills and initiative
  • Committed to quality work product both for independent tasks and team projects
  • Demonstrated self-starter who shows initiative
  • Motivated and committed to learning new systems, processes, skills
  • Ability to multi-task, work under critical time deadlines, re-evaluate priorities, and interact with all levels of professional staff
  • Exposure to sensitive information will necessitate considerable use of tact, diplomacy, discretion, and judgment
  • Must be within a commutable distance of the Burlington office
  • Must be able to lift, push, pull a minimum of 20 lbs. 

What We Offer

Our comprehensive compensation package is vital in how we recognize our people for the impact they make on us reaching our goals as a company.

For this role, the estimated base is $60,000 - $75,000 + Bonus. The actual salary may vary based on a range of factors, including market and individual qualifications objectively assessed during the interview process.
