Job Summary & Responsibilities

The Administrative Assistant role is an exciting opportunity to join a collaborative team of dedicated professionals that service Bessemer’s ultra-high net worth clients from our Los Angeles office. The Administrative Assistant will provide seamless administrative support to the Client Advisory and Office Management Team. 

 

  Responsibilities:

 

  • Screen incoming communications and route for action and follow-up.
  • Communicate with both internal and external contacts including significant prospect and client relationships.
  • Draft and proof standard correspondence.
  • Establish effective working relationships with colleagues and external contacts. This role may be required to provide flexible support to other Managers as required. 
  • Assist with bookkeeping and accounting for various client transactions.
  • Comprehensive organization of meetings and luncheons as needed.
  • Detailed calendar management and coordination of travel arrangements.
  • Prepare and submit expense reports in a timely manner.
  • Welcome and assist guests visiting the office.
  • Provide general support to the Office Manager as needed.

 

 Client Service:

  • Handle routine communication with clients and their advisors via telephone, email, and fax.
  • Document written and verbal client interactions in Salesforce.
  • Prepare charts, spreadsheets, and materials for client meeting presentations using Excel, Word, PowerPoint and internal applications as needed.
  • File correspondence and other documents in internal databases.
  • Provide general support to the Client Advisory Team as needed.

 

Account Administration:

  • Collaborate with the Client Administration Team to open accounts and coordinate with outside agents the transfer of assets to Bessemer. 
  • Perform cash management functions using Workflow and Atlas in accordance with established account procedures and applicable fiduciary laws and policies.
  • Process client remittances and bill payments

 

Qualifications:

  • Bachelor’s Degree Preferred
  • Excellent oral and written communication skills
  • Adaptable and versatile skill set
  • Strong attention to detail
  • Experience with Salesforce is a plus
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, outlook) is preferred.
  • Thoughtful interpersonal skills and comfort working within a team

The base salary range for this position is $70,000.00 - $90,000.00. Actual salaries will vary and will be based on various factors, such as skills, experience, and qualification for the role.  It is not typical for offers to be made at or near the top of the range.


In addition, this position may be eligible for a discretionary incentive based on individual and company performance. Eligible employees may participate in a 401 (k) program with a company profit sharing contribution, medical, dental, vision, life insurance and disability coverage and paid holidays, vacation, and sick days.
