THE OPPORTUNITY:

The Administrative Assistant plays a vital role in keeping the office running smoothly. This person serves as "The Face of HUB" to all visitors and staff, offering a warm greeting and providing any needed support and guidance. This role includes a mix of high-touch customer service, administrative support and some technical prowess, when needed.

Responsibilities include:

  • Opening/closing the office
  • Answering/directing phone calls
  • Processing key cards, transponders, and fitness center paperwork for new hires
  • Assisting with the coordination of on-site employee events, lunches, etc.
  • Ordering nameplates for new employees
  • Assisting clients with identifying their servicer in the system
  • Processing mail / adding currency to postage machine
  • Assisting with processing checks
  • Ordering office supplies (including coffee, tea, etc.)
  • Ensuring copy machines are working and coordinating needed repairs with vendors
  • Validating parking for guests
  • Coordinating janitorial services requests with the property manager
  • Other general support responsibilities

WHAT YOU BRING TO THE TABLE:

  • A positive attitude and a desire to learn
  • 3+ years of general office experience
  • Exceptional customer service experience
  • Demonstrated computer proficiency with Outlook and Micrsoft Office Suite (Word, PPT and Excel)
  • Keen attention to detail
  • Demonstrated organizational skills

 *The expected hourly rate is $19.00/hour to $21.00/hour and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level. HUB International is proud to offer comprehensive benefit and total compensation packages which could include health/dental/vision/life/disability insurance, FSA, HSA and 401(k) accounts, paid-time-off benefits, and eligible bonuses, equity and commissions for some positions.
