Responsibilities
The Administrative Assistant will support 5 senior investment professionals.
Responsibilities include:
- Provide comprehensive administrative support to senior investment professionals, managing complex calendars, meetings, and travel logistics.
- Coordinate with executive assistants from portfolio companies to schedule Board of Directors meetings, Oaktree office visits, and other cross-firm sessions.
- Oversee expense reporting and vendor invoice processing, ensuring timely, accurate, and compliant reimbursement for supported officers and senior professionals.
- Work independently on special projects under management’s direction, including department offsites, deal meetings, and inter-departmental initiatives.
- Arrange detailed travel itineraries, including air, car, and hotel bookings.
- Answer, screen, and manage phone calls, correspondence, and mail.
- Meet and greet guests and ensure conference rooms are prepared for meetings.
- Maintain multiple team and firm-specific databases and digital libraries through accurate data entry, reporting, and analysis.
- Coordinate team and firm-wide deliverables and assist with cross-department projects.
- Maintain organized filing systems and handle general administrative tasks (copying, scanning, document management).
- Perform other duties and ad-hoc tasks as required to support the team’s efficiency and effectiveness.
Qualifications
- 3-5 years of experience supporting senior executives within a fast-paced, high demand, professional services environment.
- Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks.
- Meticulous attention to detail and efficient approach to completing task
- Proven experience with Microsoft Office products including, Word, Excel, PowerPoint and Outlook.
- History managing complex databases and coordinating intricate schedules.

Education

Base Salary Range
$60,000 - $100,000
In addition to a competitive base salary, you will be eligible to receive discretionary bonus incentives, a comprehensive benefits package and a flexible work arrangement. The base salary offered will be commensurate with experience and/or qualifications, industry knowledge and expertise, as well as prior training and education.
