The Role: 

We are seeking a Los Angeles office-based seasoned career Administrative Assistant to partner with three to four Directors on the Live and Merchandising teams. The Merchandising team is responsible for the packaging and presentation of title launches and our evolving content catalog. The Live team is responsible for operational and creative execution for all live streamed content. You will be responsible for supporting the growing team and become an integral partner in creating a great content discovery experience on Netflix. 

A successful candidate is self-motivated, proactive, and a strong communicator who is flexible and has the ability to make judgment calls to move quickly. They will need to have a strong emphasis on organization, an unwavering attention to detail at all times, and a strong ability to problem solve. This is a fast-paced and high volume environment, so the individual will need to be comfortable operating with ambiguity and autonomy while also knowing when to slow down to ask questions. Someone who is quick to learn and inherently exercises good judgment will be most successful both in the role and at Netflix.

The ideal candidate is someone who is great in their day-to-day core work and can manage an ever-evolving list of tasks, but also thinks strategically about the needs of each leader, the team, and the impacts of our work in the wider org. They are confident & courageous to take a seat at the table, but humble & curious about the diversity in experiences held by those around them.

Specific responsibilities include, but are not limited to:
  • Maintain calendars for multiple directors 

  • Manage a large volume of various internal meetings such as all-team meetings, large cross-functional meetings, and meetings across multiple time zones (i.e. scheduling, soliciting agenda items, time management, delegation of action items)

  • Coordinate travel arrangements both domestically and internationally, as well as process the corresponding expense reports

  • Coordinate and help prepare agendas, presentations, and materials for team meetings and events as well as coordinate any follow up items

  • Event planning (team events, offsites, support with external meetings): responsible for management & coordination related to venue/vendor sourcing & logistics, agenda coordination & presentation logistics

  • Live operations room coordination: ensuring facilities are available, invite coordination, coordinating technical requirements (additional TVs, streaming devices, video conferencing), catering, etc.

  • Assist with team projects and events as needed

  • Support team-building and coordination 

  • Liaise with our corporate workplace team to be a point of contact for in-office space planning as needed

  • Maintain distribution lists, Google Groups, Slack channels and the like for the team  and serve as POC for general team communications

  • This role is heavy with communication internally and externally

Qualifications:
  • Senior experience as an administrative or executive assistant supporting multiple leaders with large, global teams across multiple time zones and cultures

  • Extensive experience within a technology or a rapidly scaling company

  • Strong executive written and verbal communication skills

  • Event planning experience is preferred - Creating and managing team events/outings to promote business and interpersonal networking needs.  Responsibilities can include sourcing, coordination and management for all aspects of the venues/hotel, coordinating pre-planning, agendas, presentations, and AV needs 

  • Previous experience working with Product or Marketing executives and with global and matrixed teams is highly preferred

  • Proficiency in Google Suite is required.  

  • A high degree of familiarity with Slack is preferred

  • Ability to be discreet and maintain confidential information

  • Responsive and able to work flexibly across multiple time zones 

  • Understanding of how to prioritize, organize, and respond accordingly

  • Interest in technology, languages, entertainment or media 

Our compensation structure consists solely of an annual salary; we do not have bonuses. You choose each year how much of your compensation you want in salary versus stock options. To determine your personal top of market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The range for this role is $60,000- $240,000.
