About the Role

Are you highly organized, proactive, and passionate about creating seamless experiences for senior leadership? Pax8 is looking for an Administrative Assistant to support multiple executives and ensure smooth day-to-day operations. This role is more than administrative—it’s about enabling efficiency, fostering collaboration, and helping our leaders focus on driving strategic success.
As a trusted partner, you’ll manage calendars, coordinate travel, prepare meetings, and handle communications with precision and care. If you thrive in a fast-paced environment and love solving problems before they arise, we want to meet you.

What You’ll Do

  • Calendar Management (25%) – Schedule and coordinate meetings, send reminders, and manage priorities.
  • Travel Arrangements (15%) – Book flights, hotels, and transportation; create detailed itineraries.
  • Expense Management (15%) – Track and process reimbursements accurately and on time.
  • Inbox Management (10%) – Sort, prioritize, and draft responses for executive communications.
  • Meeting Preparation (10%) – Prepare agendas, materials, and ensure technology runs smoothly.
  • Event Coordination (5%) – Plan and manage logistics for internal events.
  • Communications (5%) – Draft and edit internal/external communications, presentations, and reports.
  • Meeting Participation (10%) – Attend and facilitate meetings, capture notes, and follow up on action items.

What Makes You a Great Fit

  • Experience: 5+ years in a similar administrative or executive support role.
  • Skills: Exceptional organizational and time management skills, strong communication, and proficiency with Microsoft Office tools.
  • Mindset: Comfortable with ambiguity, agile in prioritizing tasks, and curious about leveraging AI tools.
  • Values: Collaborative, confident in engaging with leadership, and eager to learn and grow.
  • Education: Bachelor’s degree or equivalent experience.

Compensation:

  • Qualified candidates can expect a compensation range of $54,803 to 78,291 or more depending on experience.
