Job Summary:

The Account Specialist will report to an Account Director or Account Strategist and serve as the project manager on client accounts. You will be the driving force behind the successful planning, execution, and delivery of client projects. Your responsibilities will include confirming project scopes, setting timelines, and managing budgets to ensure all deliverables are met on time and within budget. You will coordinate and collaborate with cross-functional teams, including creative, web/dev, paid media, PR, and integrations, to ensure seamless project flow and high-quality outputs. Additionally, you will serve as one of the primary points of contact for clients, maintaining clear and consistent communication to manage expectations and provide regular updates. By proactively identifying and mitigating potential risks, you will ensure that all projects align with client goals and SmartBug agency standards, ultimately contributing to client satisfaction and agency growth.

As an Account Specialist, you will be measured on delivering the following:

Client satisfaction (results, retention, awards, reviews, referenceable clients)

Client effective billing rates (EBRs)

Timely strategy delivery and execution

Key Responsibilities:

  • Client Success
  • Build and maintain strong relationships with clients
  • Act as one of the main points of contact for your clients (along with your Account Strategist or Account Director)
  • Address client feedback and concerns around budget, timelines, and scope promptly
  • Ensure your clients see SmartBug as an indispensable partner in their growth, and that each receives a 5-star customer experience as measured by being the highest-rated partner on the HubSpot partner directory—your clients should be happy to be a reference
  • Deliver consistent, world-class quality across all customer lifecycle campaigns

  • Project Management
  • Ensure all project deadlines are met and commitments are honored by maintaining rigorous schedules, proactively addressing potential delays, and efficiently managing resources to deliver high-quality results on time
  • Communicate with clients and internal SmartBug teams via Teamwork, our project management system
  • Confirm project scopes, objectives, and deliverables in collaboration with the SmartBug account team and clients
  • Develop detailed project plans, including timelines, milestones, and budgets, to guide project execution
  • Coordinate and lead cross-functional teams, ensuring effective communication and collaboration throughout the project lifecycle; this includes our creative department, paid media, public relations, integrations, and web/dev
  • Monitor project progress, identify potential risks, and implement mitigation strategies to ensure timely and successful project delivery
  • Serve as one of the primary points of contact for clients, providing regular updates and managing expectations
  • Conduct post-project evaluations to identify areas for improvement and implement lessons learned in future projects
  • Handle various administrative tasks such as meeting coordination an setup and report preparation
  • Set up documents and outline resources need to complete deliverables
  • Maintain accurate and up-to-date client records in HubSpot

  • Delivery Process
  • Foster a collaborative and positive team environment, encouraging innovation and problem-solving
  • Act as a liaison between clients and internal SmartBug teams
  • Ensure all project deliverables meet quality standards and client specifications
  • Ensure you follow processes that result in differentiated client results and quality
  • Stay up-to-date with industry trends and best practices to continuously improve project management processes and methodologies

Requirements:

  • Bachelor’s degree in Marketing, Business Administration, Communications, or a related field.
  • Minimum of 2 years of experience in project management.
  • Experience working with project management tools, Teamwork.com a plus.
  • Proficiency in Google Suite.
  • High level of organization, attention to detail, and the ability to manage multiple priorities.
  • Ensure project deadlines are met and commitments are honored.
  • Understanding of the HubSpot ecosystem and basic digital strategies included but not limited to: social media, blogging, email marketing.
  • Strong work ethic with a positive and enthusiastic attitude.
  • Strong interpersonal skills and the ability to communicate with both clients and internal teams effectively.
  • Demonstrated ability to ensure high client satisfaction without sacrificing client goals and adhering to SmartBug values.
  • Strong problem-solving capabilities and the ability to navigate complex challenges.
  • High level of integrity, work ethic, and professionalism.
  • Passion for client success and a commitment to delivering outstanding results.
  • Curiosity and desire to learn, keeping up with industry trends.
  • Experience working remotely in similar roles is strongly preferred.
