About the Role

We’re looking for a highly organized, proactive Account Coordinator to join our team. This role is perfect for someone who thrives in a fast-paced, creative environment and has a sharp eye for detail. You’ll play a key role in supporting project coordination, internal communications, production/finishing processes, and client service.

 

 Key Responsibilities
 
Project Administration 
  • Monitor timelines and send reminders to keep projects on track
  • Organize and distribute project kickoff materials
  • Proof creative deliverables for accuracy and consistency
  • Coordinate with photo team for asset requests
  • Support production with file delivery, tracking, and transfers
  • Step in to support client communication during team absences
     
 Communication Support 
  • Send meeting reminders and distribute briefs to internal teams
  • Maintain up-to-date brand guidelines and client preference documentation
  • Ensure teams are aligned with current project details and updates
     
 Client Service Support 
  • Attend client meetings and take detailed notes
  • Organize meeting notes and email threads into internal briefs
  • Update client-facing status sheets and trackers
  • Schedule client meetings and assist in event planning and gifting
 Production/Finishing Support 
  • Create and maintain production schedules for deliverables
  • Track project progress using deliverables logs and status sheets
  • Request templates and coordinate updates as needed
  • Assist in assembling materials for client presentations
  • Manage and maintain internal systems
  • Help route materials through the finishing process
 

 What We're Looking For 
  • Minimum 1 year of equivalent work experience, preferably in entertainment and/or in an administrative support role
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication abilities
  • Ability to multi-task, prioritize and manage time efficiently to meet deadlines
  • A team player with a proactive, solutions-focused attitude
  • Keen interest in entertainment and/or marketing
