USC’s Keck School of Medicine, Department of Medicine, Office of Educational Affairs is seeking an Academic Program Specialist.
The ideal candidate should be motivated to succeed, multi-task in a high-energy environment, produce high-quality results, and maintain a welcoming and professional demeanor. The incumbent will work with the Keck School of Medicine (KSOM) of USC Internal Medicine Residency Program Manager to manage the KSOM of USC Internal Medicine Residency comprised of 60 residents. Responsibilities will include meeting Accreditation of Council of Graduate Medical Education, American Board of Internal Medicine, and Medical Board of California requirements, as well as University of Southern California policies.
Job Accountabilities:
- Aid with the development and integration of AI tools and prompting strategies to support recruitment, curriculum design, and board review processes.
- Manage program websites, social media, and online educational modules, including the creation of orientation and training videos.
- Assist department with QGenda scheduling of resident rotation schedules
- Support Residency Program Manager with event coordination of key events such as intern orientation day, graduation, board review, poster day, and in-training examination
- Assist Residency Program Manager with the planning and execution of tasks for recruitment and onboarding seasons: maintaining and processing appropriate paperwork, scheduling interviews, assembling informational packets, requesting room reservations
- Provide administrative support to department leadership: taking and transcribing minutes during routine meetings, fielding phone calls and visitors to appropriate individual(s), assists in communicating news and announcements to house staff
- Schedule required resident meetings for Associate Program Directors such as semi-annuals, advising and exit interviews
- New Innovations for Internal Medicine Residency: assigning and tracking completion of rotation evaluations, faculty evaluations, nurse evaluations, peer evaluations, patient evaluations, program evaluations (semi-annual & exit), PCA Certification, procedure entries, new accounts, archive/promote trainee accounts, KSOM professionalism module, lecture attendance, generating reports
- Collaborate with Keck School of Medicine Hospital, Arcadia Hospital, and Verdugo Hills Hospital, and USC Norris Comprehensive Center to assist residents in the badge process, and day-to-day operations
- Process residency verifications for licensure, loans, employment, housing, and so forth
- Performs other related duties as assigned or requested. The University reserves the right to add or change duties at any time.
Rate Information:
This position will be Non-exempt and Hybrid-Flex.
The hourly rate range for this position is $28.88 to $31.25

Minimum Field of Expertise: Experience in higher education and/or customer service. Excellent interpersonal, oral, and written communication skills for interacting with both domestic and international stakeholders. Demonstrated attention to detail. Proven ability to plan, implement, and coordinate program logistics. Demonstrated database/data entry experience. Proven project management and problem solving skills, able to handle multiple timelines, changing priorities, and fluctuating workloads.
