The 2nd Assistant provides comprehensive administrative support to the CEO under the direction of the 1st Assistant. This position requires strong organizational and time management skills, as well as the ability to interface with all internal departments, external clients, and vendors. They will have many opportunities to learn and develop administrative skills while learning from 1st Assistant.
Responsibilities
- In partnership with the 1st Assistant cultivate a welcoming and professional environment representing the office of the CEO, including daily support, task management, and regular debriefs to assess priority tasks and items for follow-up
- Reserve conference rooms, manage visitor lists, and liaise with building security for upcoming guest access
- Coordinate and confirm restaurant reservations, arrange daily lunch orders for the CEO and guests as needed
- Maintaining general office upkeep and functionality, including but not limited to restocking snacks and supplies, incoming/outgoing mail, facilitating repairs, framing and installation of artwork
- Reconcile and process monthly expense reports; direct documents to appropriate parties for signature, approval, filing
- Organize and maintain business and personal filing systems, contact lists, shared databases
- Manage gift giving for select birthdays, holidays, and special occasions, including researching gift options, presenting to CEO for selection, and coordinating purchase and delivery
- Support the 1st Assistant in greeting visitors and clients, calendar management, and scheduling across internal departments as needed
- Support the 1st Assistant in coordinating travel logistics, including booking ground transportation, event tickets, catering orders, accommodations, and processing of documentation (e.g., passport/visa)
- Arrange for screening materials (e.g., DCPs) to be delivered and viewed at the CEO’s home theater
- Schedule and manage personal appointments for the CEO as needed
- Assist with family-related scheduling and personal errands as needed
- Perform ad hoc duties and special projects as needed
Requirements
- 1+ years of administrative experience in entertainment industry, preferably at an agency or management firm
- Strong project and time management, strategic thinking and problem-solving skills
- Resourceful, proactive, reliable, and assertive when necessary
- Ability to communicate effectively and efficiently through strong written and verbal correspondence with all levels of management
- Extreme attention to detail and ability to prioritize effectively in any situation
- High level of discretion, proven ability to handle confidential and sensitive information
The hourly rate range for this non-exempt position in Los Angeles is $21-22.00/hour. The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors. The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
