OpenX is looking for talented and highly motivated Talent Acquisition Coordinator to help us attract and hire top talent. You will play a vital part in the candidate experience, as well as partner with recruiters and hiring managers across the organization.  The role encompasses extensive contact with candidates, scheduling designated candidates, coordinating candidates referred by outside agencies, drafting offer letters and forms, requesting and reviewing background checks, setting start dates, completing post offer pre-employment forms, coordinating onboarding and start dates, closing the requisition, etc. This role requires expert level Excel and reporting skills. The successful candidate will effectively multi-task while providing excellent customer service and building solid working relationships with our clients and the recruiting team in order to effectively manage all matters independently.

Specific tasks include:

  • Coordinate the process within recruiting from first point of contact with candidates until hand off to People Team and hiring manager
  • Responsible for recruitment metric reports both manually and using applicant tracking system and ensuring data accuracy in our ATS
  • Create, file and maintain filing system for resumes, applications and miscellaneous paperwork
  • Follow up on documentation: application, NDA, background checks and other forms as needed before their first day of employment.
  • Scheduling phone screens, on-site interviews, assist with booking travel for candidates, confirm phone interviews, videoconferences, and schedule coding exercises seamlessly 
  • Greeting candidates, confirming that interviews are proceeding on schedule, collecting and analyzing candidate survey results, and ensuring an exceptional candidate experience at every step of the process.
  • Ensuring the candidates documents are completed and obtained/sent prior to on-site interview
  • Drafting offer letters
  • Support escalated recruiting questions

Qualifications:

  • Must have advanced Excel and PowerPoint skills
  • Must have excellent customer service skills, remain adaptable and flexible to teams' changing needs.
  • Proficiency in ATS systems (preferably in JobVite and Oracle)
  • Ability to schedule and use google mail and google documents/drives proficiently
  • Must be able to set up Skype and Google hangouts for interviews. 
  • Must be organized and detailed-oriented
  • Must have 3-5 years of experience working in recruiting team
  • Ability to read, analyze, and interpret general business information such as job descriptions, business articles, corporate and client communications, etc.
  • Ability to effectively present information and respond to questions from managers, recruiters, executives, candidates and the public.
  • Internet experience including job boards, job posting and networking.
  • Ability to build effective relationships with recruiting team and candidates.
  • Ability to communicate effectively with others, both orally and written.
  • Strong organizational skills, including time management and multi-tasking.
